Position Overview: V.I.S.I.E.N. Services is seeking a dynamic and detail-oriented Regional Program Director Coordinator to manage operations across two sites in Pennsylvania and New Jersey. This pivotal role requires a professional capable of ensuring organizational compliance with state regulations while driving growth through client acquisition, staff recruitment, onboarding, and training. The Regional Program Director Coordinator will oversee critical functions such as maintaining compliance in both states, developing new operational strategies, and meeting quarterly goals and metrics. The ideal candidate is a proactive leader who thrives in a fast-paced environment, excels in managing multiple priorities, and has a proven ability to implement systems that drive efficiency and accountability.
Key Responsibilities:
Organizational Compliance and Oversight:
- Maintain full compliance with state-specific regulations for Pennsylvania and New Jersey.
- Submit quarterly and annual compliance documentation to state authorities.
- Ensure staff and community member files meet state and organizational requirements.
- Coordinate ODP training sessions and other state-mandated programs.
Recruitment, Onboarding, and Staff Management:
- Develop and execute a recruitment strategy to attract at least three new individuals per quarter.
- Manage onboarding processes for new hires, ensuring all documentation (e.g., I-9, medical clearance, certifications) is complete.
- Schedule and conduct staff training, including initial and ongoing sessions for compliance and skill development.
- Establish and monitor staff performance metrics, ensuring quarterly goals are met.
Client Acquisition and Services Management:
- Identify and secure new clients, expanding services such as Adult Autism Waiver (AAW) and residential care.
- Oversee the implementation and quality of respite care services.
- Maintain accurate community member files, including ISP plans, visit notes, and assessment histories.
Operational and Administrative Leadership:
- Manage operations at both PA and NJ sites, ensuring seamless cross-pollination between locations.
- Develop and maintain budgets for staff, insurance, facilities, supplies, and consultants.
- Implement systems for GPS tracking, online case notes, and task management.
- Collaborate with support coordinators and social workers across counties to ensure quality services.
- Maintain and refine the organization’s website and branding content.
- Generate and present weekly progress reports to senior leadership.
Qualifications:
- Master's degree in business administration, Public Health, Clinical/Social Work, Healthcare Administration, or a related field. BA with 15+ years' experience should apply
- Minimum of 5 years of experience in an administrative or operational role with multi-site oversight.
- Demonstrated knowledge of state compliance requirements for PA and NJ (preferred).
- Proficient in Microsoft Office Suite, Google Workspace, and project management tools.
- Strong organizational, communication, and leadership skills.
- Experience in managing recruitment, onboarding, and training processes.
- Familiarity with EVV systems, ISP plans, and state reporting requirements.
Position Details:
- Hours: Full-time, on-site position requiring travel between PA and NJ locations.
- Compensation: Commensurate with experience.
