ARC Foundation is hiring a full-time (37.5 hours/week) Director of Finance and Administration. Reporting to the Executive Director, the Director of Finance and Administration will oversee and implement all Finance, HR and IT processes, tools and tactics, leveraging and overseeing internal support and external suppliers to these functions. Further, as a member of ARC’s Senior Leadership Team (SLT), the position contributes to overall organizational strategic and annual planning, national growth plans and tactics, and helping foster cohesive leadership, organizational culture and alignment. 

Position Type: Full-time position (37.5 hours/week) 

Location: Based in Vancouver / Lower Mainland with flexible / partial work-from-home schedule and occasional in-person requirements in Vancouver head office; Minimal / no travel otherwise expected. 

Reports to: Executive Director

Compensation Range: $90,000 – $130,000 – dependent upon experience and credentials.

ABOUT ARC FOUNDATION 

ARC Foundation was founded in 2007 to build Awareness, Respect and Capacity through education. ARC Foundation’s vision is a world where children and youth of all sexual orientations and gender identities live authentic lives. ARC Foundation is the registered charity behind SOGI 123, an inclusive education program that equips educators with tools and resources for supporting 2SLGBTQ+ students and creating safe and inclusive school environments for all students. ARC facilitates the delivery of SOGI 123 in BC, Alberta, the Yukon, and Atlantic Canada and is working to further expand its services to other regions. 

MAIN FUNCTIONS 

Reporting to the Executive Director, the Director, Finance & Administration is responsible for the oversight, management and implementation of tools and tactics for ARC Foundation’s finance, administration, and human resources strategies, including ensuring compliance with not-for-profit / charitable organization regulations, both federally and in the provinces and territories in which we operate.  This role functions as the main financial expert for the organization and duties will involve full cycle accounting duties, including financial reporting, accounts payable, payroll, budgeting, cash management, and organizational planning as part of the management team.  Additionally, the role oversees HR policy and IT functions and suppliers, benefits and core HR functions such as recruitment and onboarding, supporting people managers with tools and resources, and implementing tools and procedures to ensure staff completion of administrative duties (e.g.  timesheets).  

CORE RESPONSIBILITIES:  

Finance

  • Lead the preparation of the quarterly financial package and present to the Board alongside the Executive Director.
  • Review month end financials, prepare variance analysis and present to SLT.  
  • Prepare and analyze financial reports for presentation to funding partners, including project audits, variance analysis and forecasts. 
  • Support ARC Foundation’s fundraising activities, financial tracking, and focused initiatives, including liaising and collaborating with the Director of Development, as warranted.
  • Manage relationship with external accountants in the preparation of the annual audited financials, project audits and annual Charity Information Return (T3010). 
  • Develop and implement financial controls, policies and procedures to ensure compliance with not-for-profit standards and practices. 
  • Identify risks to the organization and put mitigation plans in place (insurance, internal policies, etc.) 
  • Lead the annual budget planning process in collaboration with the SLT.  
  • Oversee accounts payable, team expense reimbursements, and accounts receivable .
  • Manage banking relationship and monitor cash flow; work with senior leadership team to ensure actual spend is in line with budget. 
  • Review and approve semi-monthly payroll, T4 slips at year-end and WCB reporting. 
  • Manage and maintain financial management information systems. 
  • Provide advice on all ARC Foundation financial matters.  
  • Other duties as required. 

Human Resources 

  • Administer the organization’s health benefit plan and tracking of other benefits such as vacation, sick and wellness entitlements. 
  • Provide relevant HR communications to staff. 
  • Facilitate staff performance reviews and management of personnel files. 
  • Develop and facilitate the execution of best-practice strategies for human resources administration including recruitment, on-boarding, and performance evaluation. 
  • Partner with and empower the SLT to identify team skills/competencies gaps and recommend training and support solutions, including facilitating budget management. 
  • Provide ongoing coaching and support to staff, volunteers, and contractors on operational needs, opportunities and issues.  
  • Partner with external HR consultants and suppliers as warranted to support HR functions. 
  • Other duties as required. 

Business Operations 

  • Work with Executive Director and leadership team to set and implement overall strategy for ARC Foundation operations. 
  • Facilitate annual operations planning and budgeting process, in alignment to and support of overall annual and multi-year strategic plans, to ensure timelines are met. 
  • Lead departmental reporting process to ensure flow of information, appropriate use of templates and that reporting deadlines are met. 
  • Support the Executive Director and management with insurance, legal, dispute and workforce issues, as applicable. 
  • Oversee and support the management of ARC Foundation assets and facilities (IT, digital and physical assets), including supplier management and contracts, as required. 
  • Other duties as required. 

CANDIDATE BACKGROUND

The Director of Finance and Administration will be an energetic, engaging and focus driven leader who contributes to our strategy and excels at collaboration, communication and team engagement. 

  • CPA (CA, CGA, CMA) designation required.
  • Proficiency with Quickbooks, MS Office Suite and payroll software.
  • Demonstrated leadership experience in finance, HR, business operations and IT
  • At least three years’ experience in a senior management / leadership role, including strategic thinking, negotiation skills, strong communication and collaborative style. 
  • Management experience an asset in such functions as staffing and recruitment, organizational development, succession planning, performance management, training, change management, health and safety 
  • Demonstrated consistent, superlative interpersonal, organization, planning and written and verbal communication skills 
  • Knowledge of Not-For-Profit operations preferred, including Federal and Provincial statutes governing the charitable sector 
  • Proven ability to build strong collaborative working relationships with senior level leaders and external stakeholders and partners. 
  • Successful track record of producing high-quality deliverables that demonstrate strong prioritization, organization, planning, budgeting, and cost and time management skills
  • Demonstrated ability to multi-task and be flexible and versatile in a dynamic work environment while maintaining effectiveness and efficiency
  • Understanding of ethical behaviour and business practices, ensuring own and others’ behaviours are consistent with these standards and aligned with ARC’s Values
  • Confident working with a wide range of social groups, including strong interest in creating systemic change to support students of all sexual orientations and gender identities.

NOTE:

Some duties will require availability at specific times during the work week, and different times of the year may have higher and lower demand periods. Flexibility of work hours and approach are negotiable.  There is a strong likelihood of contract renewal or extension.
