SUMMARY OF RESPONSIBILITIES
This position is responsible for providing support to the development department in the day-to day operations of their department.
Under minimal supervision, performs clerical and administrative support activities, including typing, filing, operating office equipment, preparing and entering documents onto electronic and manual records, using computer hardware and software, producing reports, compiling data, organizing resource materials, submitting work orders, database entry, budget tracking, providing general and specific information, directions, referrals, developing schedules and setting up appointments, mailings, and coordinating clerical and administrative activities and processes.
ESSENTIAL FUNCTIONS
- Maintains the highest level of confidentiality concerning all
- Draft and prepare correspondence for the Development
- Maintain appointment schedules and annual calendar of events for the Development department.
- Plan, organize and schedule meetings/events for the Development department, including but not limited to, registrations, taking RSVP’s, coordinating catering, room scheduling, organizing, and working with outside
- Prepare purchase requisitions, check requests, expense vouchers and monitor budget expenditures.
- Maintain and reconcile budgets for the Development
- Assists with taking official minutes for advancement/development.
- Greet visitors to the Advancement office, receive and route calls, take messages as necessary.
- Perform word processing, data entry, filing, and general clerical
- Creates and run queries and reports in the Raisers Edge database, as well as, inputs and updates address information in the
- Make travel arrangements as needed;
- Set up spreadsheets using Microsoft Office
- Maintain paper and electronic files for the Development
- Assist with direct mail and endowment reporting to donors

EDUCATION, EXPERIENCE AND SKILLS REQUIRED
- Must have a high school diploma or
- 2 years secretarial or administrative
- Ability to communicate effectively, both orally and in
- Knowledge and proficiency in use of general office
- Knowledge and proficiency in use of Microsoft Office software, including Microsoft Word, Microsoft Excel and Microsoft
- Knowledge and proficiency in use of database software (Raiser’s Edge and/or Jenzabar experience a )
