ABOUT THE ROLE
As a member of the Executive Office, the Operations Assistant provides administrative support to a number of teams across Founders Pledge, including the Chief Operations Officer (COO). They play a pivotal role in the smooth running of FP’s operations, enabling the COO & Chief of Staff to focus their efforts where most needed, giving our new starters a great onboarding experience, and also making our physical environment a welcoming space.
Responsibilities will include:
- Provide diary and administrative support to the Chief Operating Officer and Chief of Staff as a member of a high-performing Executive Office.
- Provide administrative support to other teams, ensuring smooth operations.
- Manage onboarding processes for new starters, creating a welcoming experience.
- Manage the London office space, including handling office supply inventory, mail and greeting visitors.
- Assist in planning team events and activities, including leading the logistical planning for the annual Global Offsite.
- Support the COO & Chief of Staff in delivering other projects and initiatives.
- Maintain organized records and documentation, both electronic and paper
ABOUT YOU
This role is perfect for someone with substantial experience in an administrative or operations support role, preferably in a fast-paced environment. With strong communication skills, a creative mindset, and a customer service orientation, you excel at coordinating tasks, diary management, and office logistics. Your proactive problem-solving abilities, adaptability and attention to detail contribute to a positive team atmosphere and an organized workspace. You should be able to navigate a new organization intuitively, requiring minimal guidance.
We’re also looking for someone with/who is:
- Proficient in Google Workspace (Docs, Sheets, Slides) and comfortable using various office software.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- A proactive approach to tasks, anticipating needs and taking initiative to improve processes.
- Excellent interpersonal skills, building relationships and fostering a positive work environment.
- Adaptable and flexible, willing to adjust to changing priorities and contribute to diverse projects.
Nice-to-have skills that might be helpful in the role:
- Experience with inventory management or office supplies procurement.
- Previous experience in event planning or coordinating team activities.
- An understanding of HR processes, particularly related to onboarding and offboarding.
