The Development Associate reports to the Director of Donor Relations, Recruitment, and Strategic Partnerships, and provides support to the Development Office focused on its objectives of planning, scheduling, cataloguing, stewarding matters related to development and donor engagement that aims to advance the mission and fiscal health of Shaw Divinity. The Development Associate provides administrative support to the Director of Donor Relations, Recruitment, and Strategic Partnerships and the Communications and Marketing Strategist. The Associate collaboratively plans, develops, and executes special projects and fundraising efforts as assigned by the Director. The Associate is responsible for confidential and sensitive material and performs full intermediate level administrative support including customer service and phone coverage; drafting of correspondence and reports, keying, logging, status of departmental purchase requisitions; calendar management and meeting coordination; maintenance of office supplies and back-up to other administrative support personnel. Position also creates and maintains hard copy and digital files and records; processes mail; and frequently performs hand delivery of documents on-campus. Ensures internal/external client satisfaction work with a diverse population of faculty, students, staff, and visitors.
Essential Job Functions:
- Professionally responds to internal and external inquiries as appropriate, demonstrating an understanding of the institution, college/departmental/unit responsibilities and appropriate protocol.
- Answers assigned phones by the third ring and responds to voicemail messages and inquires within 48 hours
- Provide professional customer service in responding to routine requests for information.
- Screens callers and visitors, assists or refers individuals to the appropriate person or office.
- Takes and gives timely, accurate, legible messages.
- Serves as an informational resource to provide callers/visitors directions, maps, etc.
- Anticipates needs of the Divinity School and works proactively to meet them. Takes initiative to troubleshoot and research issues, as appropriate, prior to referring to the supervisor.
- Ensures the Dean of Divinity and Development Office are kept-up to date on all job-related issues, concerns, upcoming work projects and projected needs of the assigned department(s)/unit(s).
- Prior to submitting for managerial approval, reviews and ensures the completeness of all forms and information packets.
- Drafts routine correspondence for review and signature.
- As assigned and appropriate, composes professional job-related draft correspondence for signature by academic department/unit head(s).
- As authorized, enters purchasing requisitions for assigned department(s) with accurate expenditure account codes
- Effectively coordinates meetings and events
- Effectively handles departmental mail, office supplies and materials
- Develops and maintains up-to-date, detailed "in the event of my absence" procedural documents and
checklists with step-by-step details of performing all job responsibilities
- Other duties as assigned (i.e. travel to support planned projects and fundraising opportunities, etc.)

ExperienceRequired3 years: Higher Education experience

3 years: Experience working as a receptionist or secretary to senior level executives
