Job DescriptionThe Development Assistant reports to the Development Coordinator and will serve as administrative support to help Directors of Development (Development Officers) with advisory board meeting logistics and planning. This is a 10-month, part-time position.
ResponsibilitiesPRINCIPAL DUTIES AND RESPONSIBILITIES:
- Serve as point of contact and provide high-level administrative support to the Development Staff, ensuring that various administrative tasks are completed effectively and efficiently.
- Coordinate all advisory board meetings, subcommittee meetings, activities, and professional development programs.
- Manage meeting RSVPs and type up meeting minutes for follow-up communication with board members.
- Coordinate all catering, maintenance, security, AV/tech, and housekeeping needs related to each board meeting.
- Create and help distribute reports and communications related to advisory board business to board members.
- Assist with Advisory Board Chairs, Deans, Faculty, and Development staff to ensure the productivity and effectiveness of all Flagler College advisory boards.
- Respond to inquiries from board members and donors.
- Performs other duties as assigned.
QualificationsMinimum Requirements: - Minimum 2 years of relevant experience in volunteer/donor relations, with an understanding of philanthropy as it relates to not-for-profit organizations.
Knowledge and Skills- Superior organizational skills.
- Excellent writing and oral communication skills, including presentation skills.
- Strong attention to detail and excellent proofreading skills.
- Strong initiative and ability to work independently with minimal supervision.
- Strong project management skills to prioritize and complete multiple tasks with competing deadlines.
- Ability to listen and respond with diplomacy and tact.
- Ability to maintain a high level of confidentiality and discretion.
- Proficient in MS Office Suite, database applications, and Mailchimp or similar programs.
- Strong customer service focus.
- Ability and confidence to communicate, interact with, energize, and lead varied constituencies; that are effective with a diverse range of audiences including board members, volunteers, internal staff, donors, executives, potential funding partners, and all constituencies.
- Ability to think strategically and translate to individual areas of responsibility.
- Ability and confidence to design, recommend and apply creative solutions to meet objectives.
Physical and Working Conditions- Light work: exerting up to 40 pounds of force occasionally, and/or a negligible amount of force constantly to move objects.
- Climbing, balancing, reaching, standing, walking, lifting, repetitive motions, and ability to communicate appropriately with students/colleagues; ability to access multi-storied buildings and multiple-level staircases.
- Must qualify for a Florida drivers license and the ability to drive a car.
- Occasional evening and/or weekend hours may be required.
