CPAN/PeriPAN Program CoordinatorJOB SUMMARY: The CPAN/PeriPAN Program Coordinator position is responsible for coordinating, organizing, and ensuring efficient program operations by managing administrative functions, team support, and aiding leadership in identifying the program's needs and areas of opportunity for growth, and development. This position works closely with the CPAN Senior Program Manager, staff, and external stakeholders to ensure the goals of the program are achieved. This position ensures program quality and provides coverage in the absence of the CPAN Senior Program Manager.
MAJOR RESPONSIBILITIES / DUTIES / CRITICAL TASKS: - Performs all purchasing, requisition, and travel related duties according to institutional guidelines.
- Obtains/accesses data and participates in data analysis efforts.
- Tracks department purchases and perform monthly budget reconciliation.
- Maintains psychiatry and team coverage calendars, ensuring adequate coverage.
- Places timely orders for supplies as needed by the department.
- Contacts clinics to update staffing information and updates databases to reflect accurate information.
- Maintains master stakeholder clinic fax phonebook, ensuring accuracy.
- Maintains Standard Operating Procedures; update as requested.
- Disseminates information to providers and stakeholders, including continuing education, office closure, and other team and department information.
- Performs activities necessary for production of program outreach, enrollment, and engagement materials.
- Manages and maintains inventory of outreach and engagement materials, assembling and reordering as needed.
- Assists with outreach and engagement activities, as needed.
- Disseminate outreach, engagement, and enrollment items timely.
- Supports team members in disseminating appropriate referral and resource information to external customers, as requested.
- Assists with preparing and submitting program documents.
- Runs program reports, review for accuracy, and disseminate to stakeholders.
- Engages external stakeholders to increase program participation and ensure excellent customer service.
- Participates in internal meetings and conference calls.
- Maintains confidentiality of information as appropriate in all aspects of care.
- Trains as a back-up to answer incoming stakeholder phone calls/texts.
- Other duties as assigned.
ACCOMPANYING KNOWLEDGE, SKILLS, ABILITIES AND COMPETENCIES: - Works in an inter-professional model and collaborates with pediatric psychiatrists, licensed mental health professionals, and administrative staff.
- Accurately and efficiently complete documentation associated with all tasks in keeping with policies and procedures.
- Demonstrate professional behavior in all interactions and utilize proper telephone etiquette during every call.
- Adhere to internal controls and requirements established for the department and institution.
- Plan and carry out program and departmental responsibilities according to approved specifications and protocol.
- Demonstrated knowledge working with deadlines and under pressure and the subsequent ability to prioritize tasks.
- Ability to function efficiently and effectively as a team member, while also having the capability to work independently with moderate supervision.

Qualifications REQUIRED EDUCATION / EXPERIENCE: - Associates degree.
- One (1) year of experience working in the healthcare field.
- Three to Five (3-5) years of experience in a customer service role.
- Two (2) or more years of experience in a professional administrative support role.
- A combination of education and experience may be considered.
PREFERRED EDUCATION / EXPERIENCE: - Bachelor's degree.
- Experience working in the mental health field.
