JOB OVERVIEW
The Manager, Gift & Estate Administration, is responsible for overseeing the administration and management of the Quebec Estate portfolio for the Canadian Cancer Society. The Manager reports to the National Director, Estate & Gift Planning and acts as subject matter expert for gift and estate matters in Quebec.
WHAT YOU’LL BE DOING:
Responsible for the administration of gifts made through estates, trusts, registered accounts, annuities and life insurance policies, including managing the associated processes, helping to prepare the annual revenue budget, and providing regular reports.
1. Estate Administration
- Under supervision of the Director, participates in estate notification in-take, new estate set up and ongoing estate administration documentation management and tracking
- Works closely with Finance coding estate designations
- Manage approximately 60 estates per year
- Initial review of estates; determines when escalation is required
- Prepares releases, cover letters, receipts and other documents for signing, in accordance with CCS signing authority policy
- Maintains estate files and files for other gifts, records new information for statistical, audit and program needs; specifically tracking of estate timelines for forecasting purposes
- Processes estate gifts, generates and delivers income tax receipts and accurately inputs the information into the database
- Ensure accuracy of the data and is responsible of the administration of Salesforce and SharePoint
- Collaborates with other departments to ensure smooth operation of the database and implementation of improvements
- Other projects, duties as assigned including estate administration process development
- Collaborates with National colleagues in synchronization of estate administration process.
- Deal with all matters regarding contested estates, including communication with other beneficiary charities, recommending escalation to Director, external lawyers, tracking all outstanding cases, adjust tracking sheets, Sales force.
- Prepares releases and other legal documents for execution by the Canadian Cancer Society’s authorized signing officer.
- Preparing communications to executors, lawyers and family members of estate donors
- Demonstrated ability to work independently, to take initiative and be fully responsible and accountable for the accurate, timely and effective performance of activities within the assigned portfolio.
- Keeps current on tax aspects of estates, trusts and other charitable gifts and informed about new legislation and revenue rulings affecting such gifts
2. Special project-based activity
- Collaboration with national estate and gift planning team
- Other duties as assigned
3. OneCRM
- Demonstrated experience working within a CRM database, preferable Sales Force
- Excellent computer skills (Microsoft Office, Share Point) and ability to learn and use new software programs
- Process enhancement is ongoing
4. Other Duties
- Opening new estate files, closing files as appropriate
- Corresponding with estate executors, families and their counsel, professional advisors and other charitable beneficiaries
- Reviewing and verifying estate accounts
- Reviewing and commenting upon the estate accounts and ensuring the testator’s gifts realized in the manner in which they are given

QUALIFICATIONS:
- A degree or diploma from a recognized post-secondary institution plus 5-7 years recent experience as a trust officer/administrator or as an estate administrator for a charity, or an equivalent combination of education, training and experience.
- A clear knowledge and understanding of the Canadian tax system, estate planning and various gifting vehicles is required.
- Trust and Estate Practitioner certification preferred
- Related post-secondary experience and/or combination of education and experience
- Demonstrated ability in preparing reports and data analysis
- Previous experience as trust officer, paralegal, law clerk
- Demonstrated ability in resolving issues with internal and external stakeholders
- Strengths in writing, editing, proof reading, demonstrating strong attention to detail
- Possess bookkeeping/accounting skills to the trial balance level
- Strong knowledge of Salesforce, Excel, Outlook, MS office
- Strong customer/donor service and interpersonal skills
- Excellent attention to detail and analytical skills
- Ability to maintain the confidentiality of sensitive information
- Excellent communication skills including the ability to write clearly and succinctly in a variety of communication settings and styles; communicate with technical and non-technical users
- Experience working in a team-oriented environment
- Displays compassion and mature judgement
