Compensation:The expected starting hourly range for this position is between $24.50 and $25.75 The salary range has been prorated based on the part-time nature of this position. Actual pay will be adjusted based on job-related factors permitted by law, such as experience and training; licensure and certifications; market factors; departmental budgets; and responsibility.
Position Overview:This role is a member of the Alumni Relations team, responsible for assisting with the production of Reunion and hiring, training and supervising student workers, and overseeing student programs. They will support the overall mission of the office, which is to reconnect alumni with each other and the College and to encourage and support useful and active stewardship of all alumni.
Essential Job Functions/Responsibilities: Student Programming- Hire, train, pay, and manage student workers for diverse projects across the office, including supervision of mailings that need to be printed and produced in-house, CAVE and Reunion projects, and other tasks, managing projects through Asana, and coordinating and communicating with other Alumni Relations staff to keep all in the loop.
- Oversee the Student Ambassador (Stamp) student workers.
- Oversee the recruiting, supervising, training, and evaluating of the 100+ temporary Reunion student workforce, in coordination with the Reunion and Alumni Program Administrator and Reunion Student Coordinators.
- Manage the HR, housing, and payroll processes for Reunion student workers.
- Manage Student Ambassador budget.
- Provide professional development opportunities for student workers.
Reunion Support- Support the Reunion and Alumni Program Administrator in correspondence and logistics.
- Supervise Reunion student workers, and coordinate clean-up after Reunion.
- Process reports and assists with other tasks as assigned for Reunion Planning Workshops.
- Assist with managing projects through Asana.
- Oversee planning and execution of Reunion events, including but not limited to transportation, photography, and Camp Carleton programs.
- Use professional judgment and independent decision-making in carrying out and improving processes for Reunion and Reunion Planning Workshops.
- Assist with other on-campus alumni events.
Additional Job Responsibilities: - Cross-train in basic job functions of the Alumni Relations Administrative Assistant and Office Manager role to provide backup as necessary.
- Occasional evening and weekend work is necessary during Reunion and related events.
Education/Experience/Skills: Required: - 1-3 years of administrative and supervision experience
- Must be able to think independently and act as the frontline of response in providing answers to common questions and investigating others.
- Must be able to recruit, hire, train, and supervise student workers.
- Flexible and adaptable, comfortable with a diverse array of projects that require different skills and interests and may often change with each new execution or even in the middle of a project
- Excellent communication skills, both verbal and written.
- Ability to manage multiple priorities and complex projects and act independently.
- Strong attention to detail; self-directed and creative problem-solver.
- Must have excellent customer service skills and be comfortable answering questions and thinking on their feet.
Preferred: - Bachelor's Degree
- Commitment to the goals of a liberal arts education and the importance of the college's relationship with its students and alumni.
- Experience working in Asana.
Physical Requirements:- lifting and standing for periods of time at Reunion and other events.
