Job Description
Position Summary
The Administrative Assistant provides administrative support to the Principal Gifts frontline fundraisers to assist them in their outreach to and solicitation of gifts from the College's strongest potential supporters.
Primary Position Responsibilities
Coordinates travel planning and meeting scheduling, drafts briefings, and enters debriefing reports.
Assists with electronic and printed correspondence to donors and prospective donors, as well as internal communications among colleagues; and assists other team members collegially.
Manages data and reports to track, produce, and distribute, in a timely way, accurate lists about prospects, prospect and donor visits, etc.
Completes prospect coding, tracking all donor activity including visits, phone conversations, and correspondence in the Development database (Affinaquest).
Coordinates all necessary material for complex high-level briefings including detailed itineraries, research, briefings, and relevant attachments.
Assists in the planning, tracking, and execution of a full range of high-level cultivation, donor engagement, stewardship, and thank-you events.
Creates project action items and production timelines; coordinates with fundraisers to assist in the development of briefings.
Completes donor event participation tracking in Affinaquest.
Produces reports summarizing event participation and other event reporting as required.
Completes expense reports and ensures that appropriate reimbursements are made; reconciles expense statements.
Assists other Development Office administrative assistants as needed in a collegial and team-oriented fashion.
Works on other projects and duties as assigned.
The Administrative Assistant supports all activities involved with the cultivation, solicitation, and stewardship of prospects and donors. Provides high quality work in a fast-paced environment with multiple competing deadlines, exercising the utmost discretion at all times.

Education Required
Bachelor's degree preferred. High school diploma required.
Experience Required
Two or more years of progressive administrative experience is preferred. Experience in an educational setting is preferred but not required.

Excellent interpersonal skills, including poise, professionalism, and discretion with confidential information.
Strong computer and office software skills.
Affinity for customer relations management (CRM) databases and data entry.

Ability to work remotely and to support staff who work both on campus and remotely.
