Job DescriptionThe Director of Advancement Services plays a vital role in supporting the fundraising and alumni relations efforts of Prairie View A&M University. This leadership position is responsible for managing the advancement services team, overseeing the integrity and security of the university's donor database, and ensuring the effectiveness of gift processing, data management, and reporting systems. The Director will work closely with the Vice President for University Advancement and other team members to implement strategies that support the university's strategic goals.
Responsibilities:Database Management: - Oversee the maintenance, accuracy, and integrity of the donor and alumni database (such as Raiser's Edge or a similar CRM system).
- Develop and enforce data entry standards and protocols to ensure data quality.
- Conduct regular data audits and cleanups to maintain database accuracy.
Gift Processing and Acknowledgment: - Supervise the accurate and timely processing of all charitable gifts and pledges.
- Ensure prompt and personalized acknowledgment of donor gifts, including the production and distribution of acknowledgment letters.
- Manage matching gift processes and other related donor recognition programs.
Reporting and Analytics: - Develop and generate regular and ad-hoc reports to support fundraising and alumni engagement strategies.
- Analyze data to identify trends, opportunities, and areas for improvement.
- Provide insights and recommendations to the advancement team based on data analysis.
Donor Stewardship and Relations: - Oversee donor stewardship activities to ensure effective communication and relationship building with donors.
- Manage donor recognition programs and events.
- Ensure compliance with donor intent and maintain records of donor agreements and correspondence.
Systems and Technology: - Evaluate and implement new technologies and systems to improve advancement operations.
- Train advancement staff on database and system use.
- Collaborate with IT and other departments to integrate advancement systems with university-wide technology solutions.
Team Leadership and Management: - Lead and manage the advancement services team, providing guidance, support, and professional development opportunities.
- Foster a collaborative and efficient work environment.
- Set performance goals and conduct regular performance evaluations for team members.
- Performs other duties as assigned.
Required Education and Experience:- Bachelor's degree in a related field.
- Minimum of five years of experience in advancement services, data management, or a related area, preferably in a higher education setting.
Preferred Qualifications:- Advanced degree preferred.
- Proficiency with donor database systems (e.g., Raiser's Edge) and other advancement technologies.
- Strong analytical skills and experience with data reporting and analysis.
- Excellent organizational and project management skills.
- Strong communication and interpersonal skills.
- Ability to work collaboratively and lead a team effectively.
- High level of integrity and commitment to maintaining confidentiality of donor information.
