ADVANCEMENT COORDINATOR

The Advancement Coordinator plays a vital role in supporting the school’s strategic capital campaign initiatives. As a key member of our Advancement team, the Advancement Coordinator works closely with the Sterling Hall School families, Alumni, volunteers and other members of our community to coordinate advancement-related activities, foster relationships and promote the school’s mission through strategic communication and engagement.
Reporting to the Executive Director of Advancement, the ideal candidate will be highly organized, detail-oriented, and possess excellent communication skills with a passion for education, philanthropy and stakeholder engagement.
ABOUT THE STERLING HALL SCHOOL
The Sterling Hall School is where boys belong. As elementary school specialists, we support boys in developing their interests, character, strengths, and leadership skills during their formative years.
Our dynamic educators teach JK to Grade 8 students using proven learning strategies designed for boys, including internationally acclaimed programs and research-based approaches. Each boy is supported in all aspects of school life as he develops and discovers his unique interests and love of learning. With an enrolment of over 300 students and a low student-to-teacher ratio, our academic specialists are able to facilitate how each boy learns best.
The Sterling Hall School (SHS) is an independent, not-for-profit school. We offer a small, supportive environment with an actively engaged community of learners, faculty & staff, parents and alumni.
SUMMARY OF POSITION
Position Type: Full-time, Permanent on-site
Location: 99 Cartwright Avenue, Toronto, Ontario, Canada
Salary Range: $50,000 to $60,000 CDN plus extended health and dental benefits and Group RRSP plan
KEY RESPONSIBILITIES
Capital Campaign Administration:
Assist in the implementation of the capital campaign strategy.
Coordinate day-to-day campaign activities including pipelines, tracking, strategy, task assignment, and maintenance of timelines to meet goals.
Cultivate and steward relationships with donors, Alumni, parents, and other community members to encourage involvement and build campaign support.
Prepare and distribute campaign materials such as briefing packages, proposals, presentations, and meeting follow-ups.
Provide campaign-related support to the Executive Director and key staff and volunteers in organizing meetings, managing calendars, and preparing campaign materials.
Collaborate with the Advancement Team to create and distribute campaign-related communications, including campaign update materials, microsite, social media posts, and event collateral.
Recruit, manage and support campaign volunteers with timely information and campaign materials to ensure effective participation and achievement of goals.
Assist with campaign-related initiatives and events, such as donor receptions, information sessions and campaign launches.
Implement campaign stewardship activities and maintain an updated list of naming opportunities.
Maintain accurate records of campaign progress and donor interactions in the CRM database.
Participate actively in school events and functions to strengthen community ties and promote the campaign.
KNOWLEDGE, SKILLS & QUALIFICATIONS
Degree or Diploma in fundraising, marketing, communications, nonprofit management, or a related field or equivalent experience.
Solid base of knowledge and 2+ years of experience in fundraising, development, or a similar role, preferably with experience in capital campaigns in an independent school or educational environment.
Experience in a capital campaign environment with knowledge of development practices and experience motivating fundraising volunteers.
Demonstrated ability to build and maintain strong relationships with a variety of stakeholders.
A fluency in technology and the ability to leverage software for the success of the capital campaign.
Proficiency with fundraising/CRM databases, Google Workspaces, and intermediate knowledge of graphic design tools (e.g. Canva, Adobe Creative Suite).
Exceptional written and verbal communication skills, specifically as it relates to communicating inspiring and personalized cases for support.
Technical skills to develop print, web, and electronic communication materials to support campaign and community engagement initiatives.
Resourceful, able to take the lead in projects, but also be collaborative and team oriented.
Ability to organize and complete multiple tasks with excellent attention to detail and prioritization to meet deadlines.
Demonstrates professionalism, diplomacy, judgement, tact, flexibility, and the ability to work effectively and calmly in a fast-paced environment with a wide range of constituents.
Ability to work some flexible hours, including occasional evenings and weekends.
A high level of energy and positivity, able to approach work with enthusiasm and humour.
