Job Description
The Donor Relations and Development Operations Project Coordinator provides administrative and project support to the fundraisers, donor relations, and operations staff in the development office. The incumbent will assist these staff with activities that motivate our donors and prospects toward supporting Wellesley's priorities through engagement, cultivation, solicitation and stewardship. In addition, this position will provide project management oversight for development operations and information strategy and administrative support for the AVP of Information Strategy and Operations.
Primary Position Responsibilities:
Supports Stewardship and Events
Assists in the planning, tracking, and execution of a full range of donor and prospect cultivation, engagement, stewardship, and thank-you events.
Creates event checklists, event materials, project timelines, and draft event briefings.
Completes donor event participation tracking in the Development database (Salesforce Affinaquest).
Produces reports summarizing event participation and other event reporting as required.
Completes expense reports and ensures that appropriate reimbursements are made; reconciles expense statements.
Prepare travel packets, including itineraries, briefings, and other supporting materials
Supports Development Operations
Conducts project management, including periodic updates, to ensure on-time delivery utilizes products such as Asana and the Google suite.
Provides administrative support to AVP, Information Strategy and Operations.
Assists with internal communications among colleagues and assists other team members collegially.
Manages files and data, both physical and digital.
Produces reports as needed to help solicit and track donor activities and giving.
Completes prospect coding, tracking of all donor activity including visits, important internal meetings, phone conversations, correspondence, and more in the Development database (Salesforce Affinaquest).
Coordinates all necessary material for donor and prospect meetings and visits, including detailed itineraries, agendas, research, briefings, giveaways, and relevant supporting documents.

Ability to handle numerous and concurrent tasks with varied and specific deadlines.
Flexibility and a good sense of humor.
The ability to collaborate, as well as to work independently and proactively in a fast-paced environment is essential.
