Responsibilities
The Division of University Advancement (DUA) Change Management Lead and Trainer oversees change processes, the training program, and systems access requests. The division has recently entered a comprehensive fundraising campaign, as well as a transformation from legacy technology systems to a new way of doing business with modern technology and optimized business processes. The Change Management Lead and Trainer is responsible for assisting in the development of, operationalizing and managing the Division of University Advancement change management program in alignment with the vision for the fundraising campaign and the ongoing technology implementation, and ensuring staff are supported through a robust training program.
This role develops and implements strategies to ensure smooth transitions during organizational changes, minimizing resistance, and maximizing employee engagement and adoption of new processes and systems. Additionally, the role includes supporting the development and delivery of training programs and systems access to ensure employees have the necessary skills, knowledge, and access to adapt to changes.
Organizational Change Management
Assist in the development and implementation of change management strategies and plans that maximize employee adoption and minimize resistance.
Lead change management activities, including communications, readiness assessments, and training programs.
Identify and manage anticipated resistance to change and develop risk mitigation tactics.
Assist in the monitoring and assessment of the impact of change on employees and the organization, and adjust strategies as needed.
Provide coaching and support to managers and supervisors to help them lead change initiatives effectively.
Evaluate the effectiveness of change management initiatives and make recommendations for improvement.
Training
Develop and deliver training programs to ensure employees have the necessary skills and knowledge to adapt to changes.
Support conducting a training needs analysis and development of training strategy.
Attend “Train the Trainer” sessions for facilitators selected for Instructor-Led Trainings (ILTs).
Work with functional leads and business analysts to identify the information and roles to be covered in training.
Drive the creation of training materials by functional subject matter experts; create a Training Development Tracker; support the creation of screenshots and videos; monitor training development and communicate issues to leadership.
Advise on specific training artifacts and design, such as presentations, toolkits, job aids, worksheets, and online classes.
Support posting course materials to Learning Management Systems (LMS) and other platforms as needed; support updates to materials once posted and assist in the technical logistics of training delivery.
Communications
Create and manage communication plans to keep stakeholders informed and engaged throughout the change process.
Develop core communications for publication on established channels.
Proactively communicate key messages to leadership and relevant stakeholders in a timely manner to support broad organizational communications.
Collaborate with project teams to integrate change management activities into project plans.
Systems Access
Oversee the systems access requests to ensure that university staff receive access to appropriate systems and software as needed to perform their job duties.
Collect required documentation for access requests.
Coordinate required training for each type of access request.
Collaborate with the technical team, managers, and other departments to approve access requests.
Qualifications
Bachelor's degree and four years experience related to administrative services or a combination of post high school education and experience equal to eight years. Driver’s License and ability and willingness to drive. Driver's license.
Valid FL or GA driver's license or the ability to obtain.

· What is a typical day in this position? You will review requests for staff access to various software programs, ensuring that proper paperwork has been collected, and scheduling training as needed depending upon the request. You’ll correspond with the IT department and other staff as these access requests move through the approval process. You’ll help design and deliver training programs either live on Zoom or via a library of pre-recorded trainings and slide decks. You’ll work to assess staff change management needs for our ongoing database conversion and/or comprehensive fundraising campaign. This could involve administering staff surveys, drafting communication pieces, planning or delivering a presentation at a staff meeting, or hosting a committee meeting or meeting 1:1 with department heads. You’ll keep a bird’s eye view of the organization and be self-motivated to come up with creative solutions to problems as they arise, to ensure that staff are informed and satisfied with changes throughout the organization.
· What to expect in the first 90 days? You’ll go through basic orientation with all of the department heads. You’ll also conduct a deeper dive involving a lot of training and shadowing across a variety of departments so you can learn the subjects you’ll later be training to staff. Your goal will be to become a “jack of all trades” in all aspects of training so you can teach intro level courses across a variety of subjects. You’ll attend a variety of database conversion and campaign meetings to get up to speed on those two big projects. You’ll also spend time working with your supervisor to enhance the training and change management programs.
