Purpose:
To support the Vice President for Institutional Advancement, Advancement Services Team, and Annual Fund Team of Institutional Advancement. This role will play a key part in enhancing stewardship management as well as provide administrative support, particularly for the Vice President of Institutional Advancement. This position requires initiative, professionalism, and high levels of integrity and confidentiality, as the coordinator will be responsible for handling sensitive material as it relates to the donors, faculty, staff, and students.
Duties:
- Efficient and sensitive handling of all administrative tasks as they relate to the Institutional Advancement department.
- Managing scheduling activities for the Vice President, such as coordinating travel arrangements as necessary.
- Ensuring timely and meaningful donor engagement and stewardship management through tasks such as preparing and/or documenting donor visits, thank-you cards, birthday cards, sending alumni IDs, and first-time gift acknowledgments.
- Providing administrative support for the Institutional Advancement team by managing budget-related/PO processes and providing essential administrative support for the Vice President to maintain efficiency and accuracy.
- Coordinating various mailings with guidance and supervision.
- Responsible for maintaining record of minutes of meetings within the department.
- Maintaining and monitoring office calendars.
- Screening and directing calls and visitors with discretion and courtesy.
- Handle routine inquiries of internal and external customers.
- Contribute to team effort by welcoming new and different work requirements; exploring new opportunities to enhance the services of the departments; helping others accomplish related job results when needed.

Vice Presidents for Institutional Advancement, Senior Director for Institutional Advancement, Institutional Advancement team members, and other administrative support within academic schools and other campus offices.

Works toward a previously defined objective with little supervision and uses a wide range of procedures to accomplish goals, plans, and arranges own work referring unusual problems to the Senior Director, Institutional Advancement or Vice President.
Qualifications Education: High school diploma required; college preferred
Experience: Required: Minimum of 2 years administrative support experience; excellent communication skills and organizational skills, attention to detail; proficient in Microsoft Office applications.
Preferred: Familiarity with Raiser's Edge (NXT) and Power BI software; Stewardship experience.
Work Environment, Physical Demands:
Standing or sitting in one position for long periods; computer data input; multiple concurrent tasks with constant service interruptions; donor, faculty and student contact; strict confidentiality; detailed work.
