Position: Advancement & Alumni Relations Coordinator

The University of Pikeville Office of Advancement & Alumni Relations is seeking a detail-oriented and organized coordinator to provide crucial support to our fundraising and alumni relations team and contribute to the success of our efforts. The Advancement & Alumni Relations Coordinator provides essential administrative and operational support to the team, enabling them to effectively cultivate and steward relationships with current and prospective donors. This role requires excellent organizational, communication, and interpersonal skills, as well as a strong attention to detail.
RESPONSIBILITIES:
- Donor Database Management: Help maintain accurate and up-to-date donor records in the database, ensuring data integrity and confidentiality. This includes data entry, updating contact information, and generating reports.
- Gift Processing and Acknowledgement: Assist with processing donations, preparing acknowledgement letters, and ensuring timely and accurate gift recording.
- Administrative Support: Provide general administrative support to the Advancement & Alumni Relations team including, but not limited to, scheduling meetings, managing correspondence, preparing presentations, ordering supplies, making travel arrangements and greeting visitors.
- Meeting Support: Prepare agendas, take minutes, and follow up on action items
- Event Support: Provide logistical support for fundraising events, including managing RSVPs, preparing name tags, and assisting with event setup.
- Communication Management: Answer and direct phone calls, process mail and email, and distribute information.
- Financial Record Keeping: Maintain accurate financial records related to fundraising activities, including tracking donations and expenses.
- Other duties as assigned: Provide support to the fundraising team as needed.

Assistant Vice President of Advancement & Alumni Relations
EDUCATION/SKILL REQUIREMENTS:
- Minimum of Associate Degree is required.
- Proven experience in administrative support or a related field.
- Proficiency in relevant computer software programs, including Microsoft Office and Google Suite. Must be willing to learn donor databases and gift entry software.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to work independently and as part of a team.
- Ability to prioritize tasks and meet deadlines.
- Experience with mail merges and other bulk mailing processes.
- Proven ability to maintain discretion when handling sensitive information.

WORK CONDITIONS:

Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.
This position occasionally requires long hours and weekend work. Travel as appropriate to achieve training objectives, attend meetings, approximately 5-10%.
