Job DescriptionThe position of Associate Director, Office of Foundation Scholarships for University Advancement, reports directly to the Director of Foundation Scholarships, sharing responsibility for setting the standards and strategic direction for scholarship administration. This position plays a leadership role alongside a dynamic team of scholarship & stewardship officers while providing assistance in the management of scholarship administration, creating consistency in awarding processes and procedures across the University. The Associate Director will provide support to the overall objectives of the USF Foundation while stewarding existing donors and cultivating new gifts through scholarship administration & stewardship.
Candidates need to possess an understanding of university advancement, donor relations, and/or scholarship administration or higher education. Excellent interpersonal, written, and verbal communication skills to interact with staff, students, donors and senior-level university leadership. Leadership skills to manage and guide a team as well as analytical skills to collect, analyze, and interpret scholarship data to enhance awarding processes and maximize fund utilization.
ResponsibilitiesLead, Train, Develop & Supervise Scholarship & Stewardship Officers within the Foundation Scholarship Office and across USF.
- Provide ongoing training to support the design & effectiveness of controls governing the use of donor funds used to provide scholarship aid, including compliance with donor intent.
- Provide access to resources necessary for scholarship administration including the systems utilized for the financial administration of funds, donor database, scholarship management software, and specialized reporting tools for the effective management of the awarding process.
- Remove barriers in scholarship administration by identifying obstacles and creating effective solutions.
Coaches the team on maintaining professional standards. - Supervision of staff members.
Scholarship Administration
- Oversee the administration of Foundation Scholarship funds including UW, Affinity Programs, and College specific Foundation Scholarship funds.
- Provide guidance and assistance to Scholarship & Stewardship Officers throughout the awarding process.
Regularly monitor fund usage and provide guidance to scholarship administrators and financial administrators to maximize fund utilization. - Monitor the disbursement of funds and facilitate the timely distribution to recipients by collecting any outstanding requirements.
- Maintain clear communication with departments, Faculty, Staff, review committees, scholarship administrators to build trust and transparency.
Donor Stewardship Initiatives
- Develop & implement stewardship initiatives to demonstrate the impact of donor giving.
- Collaborate with Development to identify donors & funds for enhanced stewardship initiatives in support of their strategic goals.
- Facilitate opportunities for donors & their scholarship recipients to forge a connection through a variety of methods including personalized thank-you letters, in-person meetings, virtual connections, video messaging, scholarship impact reports, etc.
Strategic Planning
- Provides planning, direction, management and oversight of the Foundation Scholarship Office in coordination with the Director of Foundation Scholarships.
- Facilitate strategic conversations with Deans, Faculty & Staff in Colleges & units across USF on an integrated approach to scholarship administration.
- Establish and maintain awarding policies and procedures to comply with federal, state and institutional regulations.
- Compile and report statistical data on the scholarship program for USF & USF Advancement Leadership to communicate the effectiveness of integrated scholarship administration, showcasing impacts on students and donors.
