Supervisor: Associate Secretary for Events

Location: Anywhere in the United States with reliable internet access
Hours: Full time (35 hours/week) (5 days)
Compensation: $65k – $69k plus health, retirement and other benefits
Required Education: High school diploma or equivalent
Required Experience: 3-5 years direct experience with events, preferably in a faith-based or mission-driven organization

Summary of Duties
The objective of the Events Coordinator shall be to develop and implement exemplary events for the Religious Society of Friends under the auspices of Friends General Conference. This shall be accomplished through the coordination and supervision of all logistical phases of FGC’s major events (such as the FGC Gathering), in coordination with many volunteers and their respective committees. As part of a Quaker organization, all staff actively support and participate in organizational meetings and activities.
Duties and Responsibilities
Major Events
- Orchestrate major FGC events such as an in-person Gathering, major online events, staff retreat, and annual governance sessions.
- Work with the Associate Secretary for Events to help determine the scope and scale of the major online and in-person events. Help define and/or select programming when necessary or needed.
- Support the execution of FGC events such as retreats for Friends of Color, Spiritual Deepening events, Executive Committee meetings, and outreach events.
- Coordinate the program schedules for major events.
- Support the Associate Secretary for Events by reviewing proposed host institutions facilities and pricing in relation to event logistics and budget.
- Supervise volunteers who carry major responsibilities at larger programs.
- Work collaboratively with other staff, event volunteers and committee members to build relationships that support long-term program success.
- Ensure that expertise is retained to enable live streaming or hybrid capacity when necessary.
Administration
- Direct implementation of FGC’s Pandemic Health and Safety Policy.
- Provide guidance and clarity to the annual Gathering Committees especially regarding policy interpretation.
- In concert with relevant staff members, prepare, revise, and manage the budget including conference fees, financial aid, and work grants.
- In cooperation with relevant staff members and volunteers, maintain appropriate oversight of the handling of monies and record-keeping before, during, and after major events, and approve payment of all bills.
- Staff, or arrange for the provision of staff support to, selected subcommittees of LRCP, including Workgrants and Scholarships.
- Arrange for the provision of staff support to committees related to other major events.
Outreach, Visibility, and Spiritual Formation
- In concert with Outreach and Communications staff, coordinate the development and distribution of promotional materials using a variety of media.
- In coordination with relevant volunteers and staff members, coordinate the programming of major events.
Travel
- Between fifteen and twenty percent (15% – 20%) of this position is spent traveling in support of FGC initiatives, including leadership at the FGC Gathering, Central Committee Annual Sessions, and attendance at a staff retreat; in-person attendance at volunteer committee meetings that are related to special events; as well as travel to Yearly Meetings and other Quaker events.
