SummaryUnder the direction of the Senior Director of Alumni, Parent & Donor Engagement, the Assistant Director of Alumni & Parent Engagement oversees logistics and planning of all CBU Alumni, Parent, and Affinity Group events. Events include CBU alumni and affinity group events, parent events, public relations events, and other university events upon approval of the VP of University Advancement. This position will serve with a primary focus on supporting the annual engagement efforts of an increasingly growing number of CBU alumni and families.Essential Duties and ResponsibilitiesOther duties may be assigned.- Work with University staff to accomplish event-specific goals to always present the University in the best possible light. Events may include but are not limited to: Parent and Family Weekend, Homecoming, Grandparents Day, parent and family events and all alumni affinity group events.
- Plan and develop a comprehensive alumni affinity program including but not limited to: University Schools/Colleges, regional groups, university groups, programs, and Athletic Sports teams.
- Assist the Senior Director of Alumni, Parent, and Donor Engagement with the management of all university alumni affinity groups, parent groups, councils, and volunteer positions.
- Promote campus activities as appropriate with Alumni and current students by working with Marketing and Communication, Student Services, and Print & Copy divisions to develop materials for special events.
- Create and oversee a relevant alumnus and parent program with desirable benefits designed to engage constituents with the university.
- Conceptualize, organize, and oversee a variety of events promptly, which may involve University and external VIPs, donors, faculty, staff, parents, families, and alumni, and that support the goals and objectives of the university.
- Consult with academic departments who request alumni or parent event assistance (upon VP approval).
- Attend special events, for purposes of facilitating and coordinating the day of the event, to ensure quality and to deal with the day of "emergencies".
- Manage event staff on the day of alumni and parent events, including University staff and student workers.
- Plan and manage all logistics (or oversee an event team member assigned to plan and manage an event) including event layout and decor, exhibits, guest accommodations, tours, dinners, receptions, and other applicable event or conference activities, in coordination with campus offices as necessary.
- Contract and manage outside vendors as needed and secure entertainment when applicable.
- Monitor event budgets and advise UA staff hosting the event of options and decisions affecting event costs for UA and Alumni events.
- Submit invoices and reimbursements promptly, ensuring all vendors are paid for services rendered. Collaborate effectively with other departments and staff to ensure deadlines and budgets are met.
- Design, establish, and maintain an organizational structure for volunteer staffing to effectively accomplish event goals and objectives.
- Conduct market research and identify current trends in university events to evaluate CBU events.
Supervisory ResponsibilitiesDirectly supervises the Coordinator of Alumni Events and Affinity Groups. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing and training employees; planning, assigning, and directing work; appraising performance; disciplining employees, addressing complaints and resolving problems.Other Knowledge Skills and AbilitiesTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. - Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures
- Ability to develop and maintain recordkeeping systems and procedures.
- Ability to resolve customer complaints and concerns.
