Summary/ObjectiveThe Director of Advancement Services Manager plays a pivotal role in supporting the Institutional Advancement team by strategically, proactively leading and managing the College's donor records and database, gift processing, donor acknowledgement and stewardship, financial and constituent reporting, list development, compliance with IRS and regulatory bodies, and data analytics. The Director will also oversee policies and procedures related to financial and donor records, gift revenue tracking and reconciliation, and reporting standards, in keeping with best industry practices. On a limited basis, the role may assist with prospect research, special events, board meetings, and other Advancement projects.
This position is instrumental in ensuring that Institutional Advancement operates efficiently and effectively, leveraging data-driven strategies to enhance comprehensive fundraising and engagement efforts. The ideal candidate will be both a strategic thinker and a hands-on problem solver, ensuring the highest standards in advancement services operations.
Essential FunctionsStrategic Responsibilities:- Develop and implement a comprehensive advancement services strategy to support fundraising, alumni engagement, and donor stewardship.
- Provide turnkey management of gift revenue acceptance, administration, tracking, and reconciliation, ensuring best practices are employed.
- Partner with frontline fundraisers to support pipeline development and strategic prospect pool and gift growth.
- Generate and analyze fundraising reports, giving trends/opportunities, and campaign progress.
- Lead data analysis efforts to provide insights that enhance fundraising strategies, donor segmentation, and campaign performance.
- Proactively and systematically undertake quality control measures for record integrity, including ongoing assessment of data hygiene and oversight of all data input.
- Integrate outside data resources and acquisition, i.e. wealth screenings and contracted services, to improve division's focus and outcomes.
- Audit advancement services processes and policies regularly to ensure functionality and compliance, as well as implement updates as needed. Ensure compliance with federal and state regulations regarding charitable contributions. Establish and maintain policies and best practices for data management, ensuring compliance with institutional policies, IRS regulations, and industry standards.
- Guide the campus in effective stakeholder data usage, ensuring appropriate confidentiality and standards for information gathering and sharing.
- Under the direction of the VPIA, develop metrics and reporting mechanisms that guide decision-making and measure Institutional Advancement's success.
Tactical Responsibilities:- Manage and perform gift processing, receipting and acknowledgment processes. Coordinate reconciliation of donations with the Business Office.
- Lead development and production of daily, monthly, quarterly, and annual reports, as well as ad hoc report needs.
- Produce reports and presentations for internal and external reporting, including advanced use of Excel and data visualization.
- Manage and maintain development software and hard file records for maximum functionality and accessibility for all users.
- Oversee the management and maintenance of the donor database (CRM), including accurate gift entry and administration, biographical updates, and data integrity. Administer database on timely basis including ensuring integrity (cleanliness and completion) of records, adding new constituent records, updating information from Lees-McRae College alumni and stakeholders, recovering lost constituents, searching for verified sources for updates (obituaries, marriages, births, business changes for alumni and others for whom records are kept), and tracking current student and parent status.
- Conduct prospect research and wealth screening to assist in identifying and prioritizing prospective donors.
- Maintain data security and confidentiality protocols, ensuring adherence to best practices for donor privacy.
- Facilitate the timely and accurate production of donor recognition lists, pledge reminders, and stewardship reports.
- Generate data output for internal and external list requests.
- Conduct and manage the prospect research function
- Develop, manage, and maintain services and resources ascertaining donor potential and interests.
- Provide training and technical support to Institutional Advancement staff on database utilization and reporting tools.
- Assist with IA events and communications including general office functions
- Perform other duties as assigned
Work Environment:- Hybrid work options may be available, as agreed upon by supervisor.

Supervisory ResponsibilityThis position has no supervisory responsibilities other than students at this time.
Position Type/Expected Hours of WorkThis is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m.
Occasional evening and weekend work may be required as job duties demand.
TravelLimited travel may be required for this position.
Required QualificationsRequired Qualifications:- Associate's degree.
- Minimum of three (3) years of experience in advancement services, fundraising operations, data management, or a related field.
- Proficiency in donor database systems (e.g., Raiser's Edge, Ellucian CRM, or similar fundraising software).
- Strong analytical and reporting skills, with proficiency in Excel and data visualization tools.
- Knowledge of IRS regulations, CASE guidelines, and best practices in gift processing and donor records management.
- Exceptional attention to detail, organizational skills, and ability to manage multiple projects simultaneously.
- Ability to work collaboratively with colleagues across departments and provide technical support to non-technical users.

Preferred QualificationsPreferred Qualifications:- Bachelor's degree in Business Administration, Information Systems, Nonprofit Management, or a related field.
- Master's degree in a relevant field.
- Experience in a higher education or nonprofit fundraising environment.
- Familiarity with SQL, data querying tools, and predictive modeling for donor analytics.
- Experience developing policies and training programs for data governance and CRM usage.
- Knowledge of fundraising campaign planning, pipeline development, and donor segmentation strategies.
