The Opportunity.
WhyHunger seeks a coordinator that will provide essential administrative, research, and coordination support to help strengthen WhyHunger’s relationships with artists, their teams, and partners in the entertainment industry. Reporting to the Head of Artists Against Hunger & Poverty, this role is ideal for someone early in their music/entertainment career who is organized, proactive, highly detail-oriented, and passionate about the intersection of music, culture, and social impact.
Working with a diverse team, the coordinator will report directly to the Head of Artists and will help with talent outreach, database and scheduling management, research, and the coordination of artist-driven opportunities that advance WhyHunger’s advocacy, communications, and fundraising goals.
Responsibilities include:
Artist Engagement & Administrative Support
- Support outreach to artists, managers, agents, and labels to identify opportunities for involvement in WhyHunger initiatives.
- Manage scheduling, call notes, communications tracking, and follow-ups with artists and their teams.
- Assist in cold outreach (“pitching”) to management companies, labels, and entertainment industry contacts.
- Maintain accurate CRM records (HubSpot or similar), ensuring all interactions and institutional knowledge are documented.
- Help coordinate artist participation in WhyHunger’s flagship events (gala, concert, Hungerthon).
- Serve as a liaison between artists’ teams and internal WhyHunger stakeholders for logistics and coordination.
- Represent WhyHunger at events, concerts, and industry gatherings when appropriate (evenings/weekends occasionally required).
Digital Engagement & Content Coordination
- Support the creation of artist-related digital content, social copy, and storytelling assets in collaboration with the Communications team.
- Assist in tracking artist support across social platforms and compiling performance metrics.
- Help identify artists who align with specific campaigns or program storytelling needs.
- Monitor pop culture and entertainment trends to inform digital and outreach strategy.
Fundraising & Development Support
- Support engagement opportunities with existing and new talent that advance WhyHunger’s fundraising, advocacy, and branding goals, in close collaboration with the Development team.
- Assist in executing artist-driven fundraising initiatives, including campaigns, auctions, and donation drives, by coordinating with artist teams and internal stakeholders.
- Prepare briefing documents, fundraising asks, and outreach materials tailored to artist participation, including requests for financial contributions, peer-to-peer fundraising, or in-kind support (e.g., experiences or merchandise).
- Track, monitor, and report on fundraising activity and revenue impact generated through artist engagement using HubSpot CRM, ensuring accurate documentation and follow-up.
Research & Project Coordination
- Conduct research on artists, management companies, entertainment agencies, and philanthropic initiatives.
- Track music industry news and cultural moments that may create opportunities for engagement. Read the trades to stay aware of cultural trends and report back to the team on what is happening in culture that is relevant to our work.
- Assist in preparing briefing documents, talent one-sheets, and ask letters for outreach.
- Support project management tasks, timelines, and coordination across departments.
- Collaborate with Development, Programs, and Communications teams to ensure alignment on talent opportunities.

They have administrative experience in the music industry, understand artist marketing and album cycles, and experience in project management. - A willingness to occasionally work evenings or weekends for concerts, activations, and industry events.
Our Requirements.
Bachelor’s degree in communications, music business, entertainment, liberal arts, or related field preferred, OR a bachelor’s degree in any field with relevant entertainment industry experience.
- 1–2 years of administrative, assistant, or coordination experience in the music or entertainment industry (required).
- Strong administrative and project coordination skills, including scheduling, tracking tasks, and supporting ongoing projects.
- Excellent written communication skills, including drafting outreach emails and “ask letters.”
- Comfortable with phone communication, cold outreach, and interacting professionally with artist teams.
- High attention to detail and proficiency with spreadsheets.
- Familiarity with CRM platforms (HubSpot or similar) preferred. We will be working in Hubspot.
- Proficiency with Microsoft Office Suite.
- Ability to work both independently and collaboratively to meet deadlines.
- English language proficiency required; a second language is a plus.
- Ability to work in a hybrid setup in New York (preferred) or fully remote from Los Angeles if needed.
- Knowledge of music industry tools (Luminate, Chartmetric, Radiomonitor, Spotify) is a plus.
- As part of the interview process, shortlisted candidates will be asked to complete a brief skills assessment test following the initial phone screening.
- Professional references may be requested as part of the final stages of the hiring process.
Compensation and Benefits.
The base salary range for this role is $62,000 to $68,000 for New York and Los Angeles–based employees. Final compensation will be determined based on the candidate’s relevant experience, skills, and qualifications. This employee will be eligible for WhyHunger’s generous benefits package, which includes medical insurance coverage for the employee and family, 30 days of paid vacation plus office closure for a week in the summer and a week at the end of the year, 5-hour Fridays, 403(b) retirement plan with discretionary employer contribution, and more.
