We are seeking an organized, tech-savvy Administrative Assistant to support our Executive Director.

Position Summary

The Administrative Assistant provides administrative and data support to the Executive Director. Mostly working from home on a flexible schedule however some in person meeting is required. Applicant must be mobile in order to commute to Irvine at least twice a week in order to collect mail.

Donor Management

Collect and process mail from the organization’s PO Box in Irvine on a weekly basis.
Accurately enter, update, and maintain donor and gift records in the donor database, ensuring confidentiality at all times.
Process donations and generate acknowledgment and thank-you letters in a timely manner.
Maintain ongoing communication with donors to support strong relationships.

Fundraising

Assist with fundraising events, including pre-event planning and day-of event support.
Manage check deposits and maintain accurate digital and paper-based fundraising records.

Administrative Support

Track expenses and assist with monthly accounting processes.
Provide general administrative support as needed.

Qualifications and Preferred Skills:

Strong attention to detail and organizational skills
Non Profit Experience is preferred.
Experience with donor databases such as Donor Perfect and Constant Contact is preferred
Proficiency in Google Docs and Excel
Ability to handle confidential donor information with professionalism
Prior nonprofit or fundraising experience
Basic research skills and data analysis
Strong written and verbal communication skills
