Job Description:
Reporting to the Vice President of Institutional Advancement, the Director of Advancement Services will provide strategic direction and coordinate Advancement services operations. The primary emphasis of the position includes managing the donor database, providing prospect research, gift processing, constituent tracking, relationship management, fund management, and compliance. This individual implements necessary research tools, prepares appropriate research profiles for all fund-raising activities, maintains a prospect tracking system, developing appropriate queries, and maintaining of segmented donor lists.
Responsibilities:
- In conjunction with the Assistant Director of Advancement Services, leads and directs the processing of all gifts, pledges, pledge payments, matching gifts, and other contributions to the University.
- Monitors the establishment of gift accounts including recording of gifts, restrictions on accounts, and payments/ withdrawals on accounts; provide oversight of pledge and acknowledgement processing activities.
- Monthly works with Finance to ensure donations settle to the GL.
- As requested, provide documentation for the auditors.
- Works collaboratively with Immaculata Fund staff to compose acknowledgement letters, compile appropriate invitation lists.
- Develops giving summaries, dashboards for tracking fundraising progress, campaign reporting, reporting of special initiatives and the design and development of data reports and lists.
- Maintains current documentation of gift processing and acceptance policies, gift acknowledgement, procedures and standards for data entry, report creation, and donor record gift entry.
- Provides support to advancement staff with fundraising activities related to major gifts, planned gifts and corporate and foundation philanthropy.
- Works with Vice President of Institutional Advancement in establishing scholarship agreements, follow-through, and recognition for scholarship donors.
- Maintain and track all scholarships to ensure Financial Aid is aware of scholarships to be awarded and criteria. Annually, create the impact report process.
- Oversee development of progress reports for both internal and external customers including campaign reports, lists of donors and fund totals, annual report data, layout reports, and other standard fundraising reports.
- Developing and maintaining segmented lists and mailing lists.
- Other related duties as assigned.

Minimum Requirements:
- Bachelor's degree in appropriate field required.
- At least three years of experience in Development and Alumni Relations Operations with a focus on data management and gift processing. Raisers Edge or similar CRM experienced required.
- Excellent interpersonal and communication skills.
- Solid analytical, decision making and critical thinking skills.
- Solid computer skills with experience using various donor software bases.
- Interest, understanding, and commitment to the mission of Immaculata University.
- Demonstrated capacity to take the initiative and work productively with low supervision.
- Willing to work outside normal University business hours on evenings, weekends, and holidays as required due to deadlines and special events.
