Responsibilities
The Production Coordinator, Gift Services will contribute to the integrity, maintenance and management of advancement information by coordinating workflow in Gift Services for the Foundation and Alumni Association Gift Services, analyzing workflow and making changes as needed for efficiency, analysis of data, reconciling and auditing, and overseeing the accuracy of gift and membership entry. The Production Coordinator is expected to uphold and exemplify the operating practices and mission of the Foundation and Alumni Association Gift Services.
Oversight of Department Production
Ensures that all essential daily department tasks are complete and deadlines are met for both the Foundation and Alumni Association. Coordinates with and provides training to Gift Specialists and plans proactively for volume in processing pipeline. Reviews work of Gift Specialists for accuracy and productivity and provides feedback accordingly. Performs daily reconciliation process with Accounting Department for both the Foundation and Alumni Association. Posts transactions to Accounting’s financial database for both the Foundation and Alumni Association general ledger.
Review and Analyze Data
Reviews and analyzes data for accuracy, logic and relevance. Corrects, as necessary, gift, membership, and event batches entered by Gift Services staff by validating donor, gift, membership, and fund information. Reviews acknowledgement letters and other correspondence. Performs queries and exports/imports in the database.
Project Management
Adjusts gifts, memberships, and event registrations. Performs projects as assigned by Senior Director.
Donor and Customer Service
Fields department inquiries. Communicates effectively directly with fundraisers, campus contacts, members, and donors. Corresponds with high level of written and verbal proficiency. Performs trainings for department or campus staff as needed.
Record Complex Gifts
Protects confidential information. Records gifts such as planned gifts and real estate gifts. Maintains knowledge of basic tax code for charitable contributions, as well as guidelines established by the Council for Advancement and Support of Education.
Perform Other Duties as Required
Maintains information in a variety of formats including network files and digital images. Creates and updates donor database records, records gifts and memberships, edits acknowledgement letters and other donor correspondence as needed to fill production gaps.
Qualifications
Bachelor's degree and two years of experience working in a fiscal environment.
