Position Summary: The Stewardship Coordinator supports the Henderson State University Foundation's efforts to provide exceptional stewardship, financial management, and donor services. This position is responsible for the accurate processing of contributions, financial transactions, and donor communications while ensuring compliance, accountability, and a high standard of customer service.
This role plays a critical part in strengthening donor relationships by ensuring timely acknowledgments, accurate reporting, and thoughtful stewardship touches that reflect the impact of giving and support the university's mission and philanthropic priorities.
Duties & Responsibilities:Gift Processing and Data Management- Process all contributions to the HSU Foundation, including entry into the donor database (Raiser's Edge).
- Ensure accurate assignment of gifts to the appropriate donor, fund, campaign, and appeal.
- Maintain integrity and accuracy of donor records and gift documentation.
- Prepare and manage daily deposits in coordination with Foundation financial processes.
Financial Management and Reconciliation- Manage monthly reconciliation of donations and coordinate information requests with accountants and auditors.
- Maintain accurate financial records and ensure compliance with internal controls and audit standards.
- Assist with preparation of financial reports and documentation as needed.
Accounts Payable and Disbursements- Oversee accounts payable and receivable processes for the Foundation.
- Process Foundation disbursement requests, including review and entry into Financial Edge.
- Coordinate required approvals, including Board-level approvals when applicable.
- Prepare and distribute payments, including check processing.
Donor Stewardship and Communications- Process and distribute all gift acknowledgments, stewardship communications, and giving statements in a timely and accurate manner.
- Execute stewardship touches based on an established stewardship matrix and plan.
- Support the creation and coordination of personalized donor recognition efforts.
Reporting and Budget Support- Plan, coordinate, and maintain donor reports and financial tracking documents.
- Assist in the preparation and monitoring of income and expense budgets.
- Generate reports to support advancement strategy, donor engagement, and leadership decision-making.
Customer Service and Collaboration- Provide exceptional customer service to donors, alumni, and campus partners.
- Maintain confidentiality and professionalism in handling donor and financial information.
- Collaborate with Advancement team members to support fundraising, stewardship, and engagement initiatives.
- Assist with special projects and perform additional duties as assigned.

Preferred Qualifications:
* Experience working in a nonprofit, higher education, or advancement environment.
* Familiarity with donor databases such as Raiser's Edge and financial systems such as Financial Edge.
* Experience with gift processing, donor stewardship, or financial reconciliation.
* Strong analytical and problem-solving skills.
* Ability to adapt in a fast-paced environment and work both independently and collaboratively.

8:00 a.m. - 5:00 p.m.

Minimum Qualifications: * Bachelor's degree or equivalent combination of education and relevant work experience.
