Job Description:
Reporting to the Director, Advancement and Donor Services, the Development Operations Manager is responsible for the management and development of an integrated data strategic plan of analysis of solicitations and contact points, which aims to deepen the donor pool and advance the overall mission of the Advancement Team. The Development Operations Manager is directly responsible for all data analysis and interpretation, integration with workflows throughout the department, and ensuring that we have effective ROI with fundraiser, donor, and staff time. The Development Operations Manager serves as the Institutional Advancement office's primary liaison for gift and donor records, financial reconciliation, restricted and endowed fund creation, data analysis and strategic reporting, records management, and training in the use of Raiser's Edge, while serving on the Operations Leadership team, working directly with other Managers and Associate Directors across the University to effectively execute programs, appeals, reporting, and analysis.
Reporting and Analysis
Implement and maintain a comprehensive data analytics program, including modeling, segmentation, and scoring, making recommendations for Advancement strategy based on the results.
Collaborate with Donor Relations and Stewardship Teams to ensure accurate financial statements, reporting, and fulfillment of commitments from external funders (Government, Private Foundations, Donors, Donor Advise Funds, etc) as well as support for endowment reporting, fund management and related school-based gifts and reporting.
Serve as the primary contact for planned giving donors and beneficiaries on questions about income gift payments, update their planned gift and tax reporting (1099-R and K-1).
Prepare and deliver periodic correspondence to annuitants and beneficiaries.
Meet with end-users to establish and analyze user requirements, needs, and specifications as required for their reporting needs.
Interpret requests and designs to deliver effective products tailored for each target audience.
Act as a resource to others with problem solving as well as ensuring decision-makers are aware of the risks and limitations of data, information, and analyses provided.
Perform data queries and analysis focused on planned giving revenue, assisting the Senior Director with the review and interpretation of data effectively and accurately, including reports on giving, assets, interactions, and perpetual trusts.
Design and produce custom, ad-hoc and user-run complex reports and other reporting tools, while maintaining an up-to-date reports library and formats catalog.
Maintain and improve existing set of revenue, donor, and biographic reports.
Produce lists needed for Advancement mailings, events, volunteer philanthropy support, and the annual report.
Assist with pulling, coding, and segmenting direct mail files.
Systems and Database Management
Collaborate with the Senior Director in design and implementation of plans for the maintenance and growth of Advancement information systems as well as implementation and improvement of policies and procedures for efficient quality data entry and data storage. Areas to be addressed include knowledge of current Advancement directions and priorities, refining the use of database, the transfer of information internally, other data storage systems, and reporting tools, and establishing additional systems to meet these needs.
Establish, coordinate, and maintain data procedures, processes, and policies that efficiently enhance data integrity.
Supervise the maintenance of documentation for data entry, reporting protocols and procedures.
Maintain standards including security, accuracy, data loading and duplicate elimination.
Stay abreast of peer data integrity processes and methods, and technology tools.
Oversee the use and maintenance of the Advancement team's Raiser's Edge database, this includes liaising with technology resources and working with users on the team to encourage and educate them on the platforms and tools at their disposal for secure, accurate, and efficient data maintenance.
Gift Processing and Reconciliation
Direct and oversee gift entry process from receipt of gift through reporting and analytics including reconciliations.
Ensure division-wide compliance with IRS, FASB, PCI, GDPR and FERPA reports regulation and management.
Partner with the Finance department to ensure accurate reporting of gifts.
Responsible for confirming and securing gifts (processing and designations).
Serve as a primary contact for attorneys and personal representative as well as financial institutions.
Responsible for developing and implementing policies and procedures to ensure timely and accurate gift processing, receipting, acknowledgements, pledge reminders and other related processes.
Provide overall leadership and direct supervision of gift and pledge processing, including long and short-term planning for gift processing and administration.
Ensure all donor acknowledgement policies are enforced and completed by staff.
Ensure appropriate controls and procedures are applied for managing and tracking specific language regarding pledge agreements between donors and the University.
Oversee the relationship with the Finance Office regarding gift processing.
Manage the daily and month-end reconciliation process, trouble-shoot and audit data to ensure the smooth transfer of data to the Finance Office as well as performing a monthly reconciliation and review with the fiscal team.
Requirements:
Bachelor's Degree in a related field.
Three to five years of progressively responsible experience in Advancement Services or related areas with experience in a higher education setting preferred.
Experience working with CRMs.
Excellent attention to detail and ability to meet deadlines and manage multiple complex tasks and/or projects simultaneously.
Ability to analyze and interpret data then take the appropriate action.
Ability to use good reasoning and resourcefulness.
Ability to analyze and review operational procedures, identify problem areas, and optimize performance through procedural changes.
Ability to work independently and maintain composure in an office with a high volume of work and changing priorities.
Excellent interpersonal and communications skills.
Be able to effectively work with sensitive information, with experience in using confidentiality and discretion.
Strong Microsoft Excel skills including pivot tables, basic functions, formatting, and visualizations; competency in Microsoft Word and Outlook.
Demonstrated ability to work with diverse populations and a commitment to diversity and inclusion.
Preferred Qualifications
Experience working with computer queries and SQL highly preferred.
Experience working Blackbaud Raiser's Edge preferred
