Duties and Responsibilities:
Reporting to the Office of Campus Operations and Planning, the Mail Services & Campus Operations Assistant is responsible for supporting centralized campus mail services, including the accurate and timely receipt, processing, and distribution of mail and packages. In addition to mail room responsibilities, this position contributes to the efficient functioning of campus services through customer service, coordination, inventory tracking, and administrative processes, helping to ensure efficient and reliable service delivery within a higher education environment.
- Receives, sorts, and distributes incoming mail and packages to designated campus departments and offices
- Prepares and processes outgoing mail and shipments, including packaging, labeling, metering, and coordinating pickup with USPS and courier services
- Maintains logs and tracking records for incoming and outgoing deliveries
- Liaises with postal carriers and courier vendors to coordinate deliveries and resolve service-related issues
- Provides customer service by responding to inquiries and directing requests via in- person, telephone, email, and ticketing systems
- Performs administrative tasks, including data entry, recordkeeping and maintenance of operational documentation
- Supports campus operations functions, including inventory tracking and routine facility walkthroughs
- Maintains accurate records related to equipment, supplies and operational resources
- Assist with bulk mailings, interoffice mail, and campus-wide distributions
- Operates and maintains mailroom equipment following institutional guidelines
- Supports departmental initiatives, projects, and operational priorities as assigned
- Complies with college policies, safety standards, established operational procedures and postal regulations
- Maintains an organized, clean, and functional work environment in support of efficient operations
- Provides professional and courteous service in all interactions with members of the campus community and external vendors
- Performs related duties and responsibilities as assigned.
Minimum Qualifications
- High school diploma or equivalent
Preferred Qualifications
- Prior experience in administrative support, customer service, or mailroom operations
- Experience in a higher education or campus environment
- Familiarity with USPS, courier services, and or shipping processes
- Basic proficiency in Microsoft Office Suite and Adobe Acrobat
- Basic computer proficiency (email, data entry, and record keeping)
- Strong organizational skills and attention to detail
- Ability to follow established procedures and work independently
- Ability to work effectively and collaboratively in a team setting with diverse staff of all levels
- Ability to meet the physical demands of the job on-site.
Note
- This position is a 100% on-site assignment.
- Work is performed primarily in an on-campus mailroom and office environment and involves regular interaction with faculty, staff, students, and delivery personnel. The role requires frequent standing, walking, bending, lifting, and transporting mail, packages, and office equipment, as well as the ability to lift and carry items weighing up to 50 pounds. Manual dexterity is also required for operating mailroom and office equipment.
