Assistant Director of Alumni RelationsPosition Purpose
The Assistant Director of Alumni Relations supports the design, planning, and execution of a comprehensive alumni engagement program for Hiram College. This position manages alumni communications across multiple channels, coordinates events, fosters volunteer engagement, and collects and shares stories that demonstrate the impact of a Hiram education. Working in close collaboration with the Director of Alumni Relations, the Marketing and Media Relations team, and other campus partners, this person plays a central role in building and sustaining meaningful relationships between the College and its alumni community.
Key Accountabilities:
Alumni Communications
Emails & E-Newsletter
- Pull targeted lists from Salesforce to support segmented communications.
- Draft and distribute alumni e-newsletters and email communications.
- Coordinate content and design with the Marketing and Media Relations team.
- Manage internal and partner communications, including with Athletics, GCPL, and other campus units.
Print Letters & Brochures
- Coordinate design of print materials with the Marketing and Media Relations team.
- Manage distribution logistics with the Mail House vendor.
- Coordinate smaller, in-house mailings as needed.
Social Media
- Manage the Alumni Instagram and Alumni Facebook accounts.
- Generate original alumni content on a regular basis.
- Share relevant College content from other institutional accounts.
Texting
- Manage and execute text messaging campaigns for alumni engagement purposes.
Web Content
- Maintain and regularly refresh alumni web pages.
- Create dedicated event pages and manage entries in the College's calendar system.
Events
- Support logistics planning and execution for all alumni events, including Homecoming, Alumni Weekend, Day with Hiram, Garfield Society events, and regional alumni events.
- Create all event registration forms and confirmation emails.
- Manage RSVP tracking and logistics for all events.
- Provide broad coordination support across all event types.
Stewardship & Individual Storytelling
- Collect stories from students and faculty to share with alumni constituencies through one-on-one, small group, and broad communications.
- Gather alumni stories that illustrate the impact of a Hiram education, including Alumni Spotlights and Instagram profiles.
- Support content development for the digital alumni magazine.
Volunteers
- Support the Alumni Engagement Board (AEB) and its committees.
- Support Class Reunion Committees in planning and outreach.
- Coordinate affinity volunteer groups, including BSU, Athletics, and other alumni affinity communities.
Other Duties
- Coordinate requests for alumni speakers from across the campus community.
- Optional: Manage the Eclectic Society portfolio as assigned.
- Contribute to the overall success of Development and Alumni Relations by performing all other duties and responsibilities as assigned.
Position Requirements
Skills & Knowledge
- Excellent verbal and written communication skills.
- Strong organizational and project management skills, with the ability to manage multiple deadlines simultaneously.
- Proficiency with social media platforms and digital communications tools.
- Demonstrated comfort with CRM systems, preferably Salesforce.
Experience
- At least one to two years of professional experience in alumni relations, communications, event management, or a related field.
- Experience managing social media accounts in a professional setting.
- Experience with event coordination and logistics preferred.
Education
- Bachelor's degree required
