Job Description:
Reporting to the Director of Advancement Operations, the Advancement Operations Administrator is a key member of the Advancement team, supporting the department's efforts. They play a crucial role in securing resources in support of the college's mission and programs by working with the Advancement Office team on fundraising strategies, annual giving, alumni engagement, data entry and integrity, donor and gift stewardship, and other administrative duties. The Advancement Operations Administrator also assists the Assistant Vice President in supporting and coordinating activities for the STCC Foundation's Board of Directors and its committees.
In addition, the Advancement Operations Administrator helps update the donor database, including batch gift entry and preparing acknowledgment letters and fund stewardship reports. Working with the Director of Advancement Operations, the Advancement Operations Administrator supports the operations and financial administration for both the Office of Advancement and the STCC Foundation, including support of the accounts payable process and audit preparation.
The Advancement Operations Administrator must be organized, efficient, and able to discern work priorities and meet deadlines. In addition, they must have the ability to thrive in an environment that requires significant self-initiative, the management of multiple projects at once, and collaboration among team members, both internal and external to Springfield Technical Community College.
Responsibilities:
Donor Stewardship:
- Working with the Assistant Vice President and the Director of Advancement Operations, prepares annual fund stewardship reports for donors to help demonstrate impact;
- Tracks giving societies and giving trends, identifying opportunities for additional stewardship and outreach, and works with colleagues to develop a robust giving society program;
- Working with the Advancement and Alumni Relations Manager, tracks alumni and donor engagement through event and outreach reporting.
- Serves as a creative partner in identifying trends and opportunities for additional engagement and donor outreach;
- Assist with the cultivation, solicitation, and stewardship of donors and stakeholders to support a steady, diversified revenue stream.
Gift Administration:
- Create, maintain, and update the Foundation's online giving form, working closely with the vendor and colleagues in Finance.
- Processes donations accurately and in accordance with donor wishes and generates acknowledgement letters and tax receipts in a timely manner;
- Serves as liaison to donors and potential donors;
- Resolves gift issues, including updating payment options for recurring gifts and gift changes;
- Assists with the coordination and planning of Advancement and community events.
Data and Reporting:
- Working with the Director of Advancement Operations in updating constituent data and ensuring data integrity;
- Runs regular Advancement reports for the office and its partners, including deceased lists, donor society lists, and other reports as requested;
- Creates queries for obtaining data and lists with unique criteria requiring knowledge of the database functions and understanding of coding conventions and practices;
- Ensures all public reporting meets CASE reporting standards.
Volunteer Management:
- Supports the STCC Foundation Board and committees, including sending meeting notices and reminders, producing presentation materials, and taking accurate meeting minutes;
- Working with Advancement colleagues, serves as the Office's initial point of contact for leadership volunteers and serves as the public face of the organization at programs and events.
General Administrative:
- Provides high-level administrative support to the Assistant Vice President of Advancement;
- Responsible for office needs including the ordering of supplies and materials for board meetings, events, donor stewardship, gifts, awards, etc.
- Works with the Director of Advancement Operations to support the annual audit;
- Responsible for other special projects as needed/assigned.
Requirements:
- Bachelor degree required;
- Three (3) years of related experience preferred including experience working in a higher education setting, or with fundraising and alumni relations;
- Experience with foundation and business operations preferred;
- Knowledge of gift processing procedures preferred; knowledge of Blackbaud Raiser's Edge/NXT/AwardSpring a plus;
- Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community
- Proven sensitivity with confidential information, as well as the ability to take initiative and to use critical thinking skills
- Demonstrated professionalism in working with boards, leadership volunteers, and donors.
