Operations Manager for the Office of Development and Alumni Relations
The Office of Development and Alumni Relations is seeking applicants for a Operations Manager supports the Vice President of Development and Alumni Relations and overseeing operational aspects to ensure the successful execution of fundraising and alumni engagement initiatives.
In collaboration with the Vice President of Development and Alumni Relations, this person will oversee the day-to-day project management for development initiatives, tracking deadlines, managing logistics, and supporting event planning. Schedules meetings and prepares reports, presentations, and data summaries for the VP, tracking campaign progress and donor and alumni engagement metrics. Acts as a central point of contact, coordinating communications among internal teams, board members, and key stakeholders.

Duties and Responsibilities:- Coordinate day-to-day operations for the Office of Development and Alumni Relations initiatives.
- Track deadlines, deliverables, and logistics for ongoing projects, and campaigns. Serve as a point of contact for the communications and media relations team.
- Ensure smooth execution of events, campaigns, and donor engagement efforts by collaborating with team members and external stakeholders to support the overall mission of the College and raise visibility of the College.
- Manage the Vice President's calendar, scheduling meetings with internal teams, donors, alumni, and board members.
- Prepare briefing materials, reports, presentations, and data summaries, ensuring the VP is well-informed for strategic discussions.
- Provides support to the VP in preparing for Board of Trustee meetings.
- Monitor campaign progress by tracking key metrics, including donor and alumni engagement and fundraising goals.
- Maintain organized records of campaign activities, meeting notes, and donor data to ensure seamless reporting and transparency.
- Support the planning and execution of events, including donor recognition events, alumni gatherings, and major fundraising initiatives.
- Serve as a liaison between the VP's office and key stakeholders, including major donors, alumni, and board members.
- Supervises the hiring, scheduling, and daily tasks of department student workers.
- Other duties as assigned.
Skills and Knowledge:
- Excellent communication and organizational abilities to manage multiple projects, deadlines, and stakeholders simultaneously.
- Ability to develop and monitor project plans, ensuring timely and successful execution.
- Experience in planning, coordinating, and executing events.
- Excellent written and verbal communication skills, including the ability to draft professional correspondence, reports, and presentations.
- Strong interpersonal skills to liaise effectively with internal teams, alumni, donors, board members, and external stakeholders.
- Advanced skills in Microsoft Office Suite (Excel, Word, PowerPoint) and project management tools.
- Familiarity with donor management systems (e.g., Raiser's Edge, Salesforce, or similar CRM platforms).
- Demonstrated ability to lead initiatives, coordinate cross-functional teams, and foster a collaborative working environment.
- Ability to exercise discretion and handle sensitive information with professionalism and confidentiality.
Education and Experience:
- Bachelor's degree in related field is preferred or more than 3 years of direct experience in event management and development.
- 3–5 years of experience in administrative or operational roles, preferably in nonprofit, higher education, or fundraising environments.
- Experience supporting senior executives, including scheduling, meeting preparation, and project oversight.
- Proven experience in event planning and coordination, including managing high-profile events.
