Job Summary: The Events Coordinator for the Advancement Department will be responsible for planning, coordinating, and executing a variety of events that support the university's advancement goals. A key focus will be the coordination of Homecoming activities, ensuring a memorable and engaging experience for alumni, students, faculty, and guests.
Key Responsibilities:
- Event Planning and Coordination:
- Develop, plan, and execute a comprehensive calendar of events in alignment with the university's advancement goals.
- Lead the planning and coordination of Homecoming, including logistics, programming, and communication with stakeholders.
- Coordinate with internal departments and external vendors to ensure seamless event execution.
- Manage event budgets, timelines, and resources efficiently.
- Monitor and analyze trends in philanthropy to identify new fundraising opportunities.
- Develop and maintain relationships with alumni, donors, and community partners to enhance event participation and support.
Communication and Marketing:- Collaborate with the Director of Communications to create event promotion strategies and materials.
- Draft and distribute event communications, including invitations, newsletters, and social media content.
- Maintain and update the events section of the university's website and other relevant platforms.
Logistics and Operations:
- Arrange for event facilities, catering, audiovisual equipment, transportation, and other logistical needs.
- Oversee event setup and teardown, ensuring all details are executed according to plan.
- Coordinate volunteer and staff involvement, providing clear instructions and support as needed.
Post-Event Activities:- Conduct post-event evaluations to assess success and areas for improvement.
- Compile and analyze event data to inform future planning.
- Ensure participants, donors, and volunteers are properly acknowledged and thanked.
Qualifications:
- Bachelor's degree required.
- Minimum of 3 years of experience in event planning and coordination, preferably in a higher education or non-profit setting.
- Strong organizational skills with the ability to manage multiple projects simultaneously and on tight deadlines.
- Excellent writing and verbal communication skills.
- Proficiency in event management software and Microsoft Office Suite.
- Ability to work flexible hours, including evenings and weekends, as required.
- Demonstrated ability to work collaboratively with diverse groups and individuals.
- Strong attention to detail and problem-solving skills.
