Job Title: Nonprofit Bookkeeper (QuickBooks & Payroll)

Job Summary:
We seek a detail-oriented and experienced Bookkeeper to manage our nonprofit organization's financial operations. The ideal candidate will have QuickBooks, nonprofit accounting, and payroll processing expertise. This role ensures accurate financial records and compliance with nonprofit regulations and supports the organization's mission by maintaining financial transparency.
Key Responsibilities:
Bookkeeping & Financial Management
- Maintain accurate financial records in QuickBooks Online.
- Record and categorize all income and expenses, ensuring proper fund allocation.
- Manage accounts payable and receivable, ensuring timely payments and collections.
- Reconcile bank statements, credit cards, and other financial accounts.
- Assist with budget preparation, financial forecasting, and reporting.
- Prepare and review financial reports for board meetings, grant reporting, and audits.
Accounts Payable & Bill Payment:
- Oversee and manage Bill.com for bill processing and vendor payments.
- Verify and ensure the accuracy of vendor invoices and payment documentation.
- Monitor cash flow to support timely payment processing.
- Accounts payable for programs.
Payroll & Compliance
- Process payroll accurately and on time using ADP Payroll
- Ensure compliance with federal, state, and local tax regulations.
- Prepare and file payroll taxes, including quarterly and annual tax reports (941s, W-2s, 1099s).
- Track and manage employee benefits, PTO, and retirement contributions.
Grants & Nonprofit Financial Compliance
- Assist in tracking restricted vs. unrestricted funds for grant reporting.
- Ensure compliance with nonprofit accounting standards (GAAP for nonprofits).
- Reconcile QuickBooks and Salesforce monthly in partnership with the Development Department.
- Prepare and maintain records for audits and annual tax filings (Form 990, 1099, Single Audit).
Process Improvement:
- Identify and implement best practices for financial systems and processes to improve efficiency.
- Ensure data consistency and accuracy between financial systems (QBO and Salesforce CRM).
Qualifications:
Required:
- 3+ years of bookkeeping experience, preferably in a nonprofit organization.
- Proficiency in QuickBooks Online and payroll processing.
- Strong understanding of nonprofit accounting principles, including fund accounting.
- Experience with payroll tax filings and compliance.
- Strong attention to detail and ability to manage multiple financial tasks.
Preferred:
- Experience with grant tracking and financial reporting for grants.
- Knowledge of Form 990 preparation and nonprofit tax regulations.
- Familiarity with accounting software integrations (Bill.com).
