Advancement Coordinator for the University of Tennessee Health Science Center, located in Memphis, TN. This role will work across functional areas, assisting in the effective implementation of strategies and goals for the team while helping streamline processes and managing projects.
ResponsibilitiesJob responsibilities include, but are not limited to:
Office/ Project Management: Willingness to develop and build relationships with internal and external stakeholders. Ability to see upcoming needs of the team and for the project they are working on while staying proactive to keep projects running on time. Developing SOPs and timelines to keep projects moving forward for the team to meet goals and fulfill strategies. Engage in team meetings by bringing ideas to the table. Prepare and coordinate project needs; including creation and maintenance of correspondence, project workflows, databases and of primary and secondary files, merging, sorting, and project assistance. Work with team to keep documents up to data and projects on task. Responsible for adding and maintaining shared documents platform, using TEAMS as preferred choice.
Administration: Strategize and coordinate trip plans from initiation to completion, schedules in-person, phone, or virtual meetings, and maintains calendar for leader and team members. Coordinates travel as well as processes reimbursement for team members after travel is concluded. Enters mileage for reimbursement to team members. Serves as liaison between Development officer and Alumni team officers for special events, alumni meetings, development council meetings, etc. Assists in staffing Development/Alumni meetings and events when required and other related duties assigned.
Communications: Works with Donor Relations and Philanthropic Asset Management teams to help with workflow coordination, donor database and report requests, and preparation needs of alumni or development officers. Prepare and coordinate production of daily correspondence. This position is the face and voice of the Office of Advancement and handles daily telephone interaction with major donors/volunteers. Communicates with vendors and coordinates all related activities, including invoicing and delivery. Occasionally initiates letters recognizing the receipt of gifts from donors or other written correspondence when appropriate. Assist officers in the cultivation and stewardship of donors and prospective donors.
QualificationsRequired Education and Experience The candidate who fills the Advancement Coordinator position is required to have:
- 3+ years of administrative support in an office environment
- Ability to be a strong communicator verbally and written
A valid driver's license with an acceptable driving record is required due to travel responsibilities of the position. UTFI reserves the right to consider all appropriate circumstances. In general, any significant driving offense less than 12 months old will eliminate the application from consideration for the position.
Note - Candidates holding a graduate degree must have at least 1 year of experience.
Preferred Education and Experience In addition to meeting the required qualifications, the preferred candidate will have:
- 5+ years of administrative support in an office environment
- Experience communicating with academic personnel, college alumni, and/or donors
