Who we are looking for:
ASCO is in search of a high-performing and talented Administrative Coordinator to join our Professional Development Department. In this integral role, you will provide administrative support and coordination to the department Vice President, leadership, and teams while contributing to departmental goals.

This position is hybrid with a primary location in Alexandria, VA. We anticipate the hire to be onsite approximately 2-3 days per week.
Responsibilities
- Provide administrative support to the Vice President and Department leadership, including scheduling, expense report preparation, reconciliation of department credit card transactions, and customer inquiry responses
- Serve as department onboarding logistics coordinator and collaborate with the onboarding manager to ensure a welcoming and efficient introduction to department
- Facilitate and execute department shipping and supply needs through team collaboration, effective communication, and accurate record keeping
- Partner with project teams and volunteer navigator teams to facilitate the processing of invoices and expense reports for volunteers, award recipients, faculty, and vendors
- Support the contracting needs of the Department by uploading contracts, monitoring progress to signature, and tracking renewals and termination
- Coordinate and prioritize budget input and monthly reports, contract processing for new and existing vendors and consultants through the internal contracts database system, and processing invoices and expense reports
- Support and coordinate the planning and delivery of Professional Development in-person meetings and activities
- Regularly communicate updates, important news, and project progress to the department through appropriate channels, including maintaining accurate and up-to-date departmental records
- Provide exemplary customer service to our internal and external stakeholders
- Provide select programmatic support across the department as needed
Required Education and Experience
- Bachelor’s degree or equivalent years of work experience and/or training
- 2 – 3 years of customer service experience
- Experience in prioritizing work and multi-tasking, with a strong sense of urgency
Preferred Education and Experience
- Experience in nonprofits, adult learning, education, and/or healthcare
- 1 year of administrative support experience
- Understanding of and ability to apply computer technology to efficiently accomplish tasks inclusive of being proficient in MS Excel, Outlook, Word, PowerPoint, and Adobe
