Job Description:
Fulfills the mission of Norwich University by overseeing the responsibilities of gift recording, receiving, recording, legally receipting, and reporting on charitable contributions to the University.
This position requires a team player who is inquisitive, values a learning environment, and demonstrates the ability to problem solve and shift priorities quickly. High-quality customer service, accuracy, tact, and diplomacy are necessary as this position frequently interacts with donors, volunteers, and staff in daily operations.
Hybrid work schedule may be authorized for this position.
Essential Functions
- Records and maintains all donations and pledges for Norwich University as they are received in accordance with donor intent, Norwich University gift entry policies, and IRS and other government regulations and requirements.
- Disperses a weekly list of all gifts entered in the system with the DAR staff; makes gift adjustments as necessary following their review.
- Performs regular data audits for gifts, funds, and constituent contact information records to keep the database clean.
- Coordinates with the Data & Gift Specialist to periodically run Blackbaud Data Health services.
- Manages shared inbox monitoring all gift activity and incoming gifts to ensure gifts are entered appropriately according to donor wishes.
- Communicates professionally with donors, foundations, and other external constituents, as well as university staff, to confirm and/or gather additional information needed to record gifts and pledges properly.
- Researches and recommends products and resources that could be solutions for data integrity needs and specific projects.
- Creates and sends acknowledgments of all new and paid-off pledges; works with the Stewardship team and Annual Giving office on their outreach plans.
- Tracks matching gift requests and payments; includes verifying the validity of donor requests, producing receipts for the matching gift company, and corresponding with the donor of completion.
- Manages a 'Deceased dashboard' to track all our deceased constituents; this includes building new spouse records, closing out open pledges, and sharing pertinent information with other DAR staff.
- Assists the Director of MGAA with event maintenance and other needs as athletic and affinity group needs increase.
- Sends monthly Tribute letters to family members of deceased constituents when we receive gifts in their memory.
- Mentors the Gift & Data Specialist and student staff, fostering a collaborative team culture.
- Partners with Finance, Annual Giving, Major Gifts, and Stewardship teams to ensure alignment in gift reporting, reconciliation, and acknowledgement practices.
- Stays current with IRS regulations and with CASE gift entry best practices.
- Oversees the maintenance of our hard-copy records and stay knowledgeable on best practices on the life cycle of our documents.
- Assists with Homecoming events and database cleanup leading up to the annual weekend event.
- Assists with other Development & Alumni Relations events as requested; ample lead time will be given.

- Performs other tasks as assigned by supervisor.
Requirements:
- Associate degree or equivalent college credits required. Bachelors degree preferred - additional relevant experience may substitute.
- Experience with Blackbaud's Raiser's Edge database and NetCommunity software or comparable CRM preferred.
- Project management and research experience, including the use of web-based tools and databases are essential.
- Experience in higher education or nonprofit environment preferred.
- Experience in data analysis and reporting is preferred.
- Strong analytical, organizational, and interpersonal communication skills.
- Working knowledge of MS Office, Word, Excel, Teams, SharePoint, and Outlook.
- Able to sit, squat, reach, push, pull, and manipulate related equipment; lift 15 pounds; travel outdoors to various parts of the campus.
- Work some evening or weekend hours
