POSITION OVERVIEW:
The Supervisor, Facility & Student Support oversees all facility services in the TMU Student
Community Centre and Oakham House with a focus on leading the ‘Student Support Committee’, building maintenance, accessibility needs and acting as the primary liaison between the foundation and building tenants.
DUITIES & RESPONSIBILITIES:
Operational Management (General)
- Distribute information to vendors and staff in a timely and efficient manner (responding to all e-mails, check voicemails, monitor internal communication software)
- Train and prepare staff with the tools necessary to execute high-level service
- Prepare documents and compile any forms needed in the daily operation of managing services
- Manage inventory and order products
- Complete reports as needed
- Collaborate with Senior Staff with the creation and revision of policies as needed
Student Support & Sustainability Committee
- Manage relationship with external food banks
- Lead the newly formed Student Support committee and prioritize stakeholder engagement and building of policies and procedures
- Manage the relationship with the Student Unions
- Develop and maintain partnerships with external organizations as needed
- Develop opportunities for food rescue internally and externally
- Ensure compliance with Food Safety standards and facilitate training as appropriate
- Facilitate the training of the Basic Food Handler Certification to staff and tenants as appropriate
- Develop initiatives and opportunities to improve sustainability measures internally
- Coordinate and plan initiatives and programs with the student unions that support student needs
- Research, develop, and submit strategic grant proposals to secure funding for future initiatives aligned with the organization’s long-term goals
- Conduct needs assessments and gather data to identify student needs and evaluate engagement with food support programs offered through the SCC
Facilities, Building Management and Accessibility
- Communicate on a daily and weekly basis with Facilities Management and Development as the FMD Liaison for (mechanical, heating, cooling, plumbing, lift/elevator, intercom issues)
- Order supplies as needed (toilet paper, lightbulbs, soap, hand towels, etc.)
- Be the primary liaison with third party custodial services during the day and evening and communicate needs of tenants in the TMU-SC
- Ensure accessibility compliance in Facility and the AODA Policy and Accessibility Plan are update as per requirements
- Lead the progress of the Multi-Year Accessibility Plan
- Review and create facility project lists to plan and foresee potential scheduling conflicts with clients and their respective groups
- Assist in renovation and capital replacement planning
- Liaison with Facilities Management and Development about issues reported from all tenants and departments. Tracking and triaging fix-it requests (FMD ticketing system)
Security, Compliance and Safety
- Responsible for programming of building alarm systems, arming/disarming times
- Authorization & Programming of TMU One Cards and Permissions
- Authorization of Key and Building Access
- Managing Key Access for Tenants and Foundation Employees
- Working with TMU Security to assess event risk or potential safety concerns
- Ensure that all events comply with health and safety regulations, venue policies, and legal requirements
- Serve as management representative on Joint Health and Safety Committee and manage required certifications and training for foundation staff
- Create and post emergency evacuation plans denoting maximum capacity figures, fire exits, emergency pull stations, fire extinguishers and other safety notes in all rooms
Team Management
- Responsible for all employee relations within their scope including recruitment, hiring, training, promotion/demotion, discipline, discharge, scheduling, and related matters
- Collaborate and implement policies and procedures that focus on developing staff to perform at a professional service level
- Supervise all staff and ensure they are provided with clear and detailed instruction
- Review daily logs as appropriate (7Shifts) and address issues as needed
- Train staff on all appropriate software and equipment as needed
- Responsible for ensuring compliance with the Collective Agreement
- Ensure compliance with of all foundation policies
- Attend staff meetings and other meetings as scheduled or required
Financial Management
- Collaborate with finance department in management of facilities budget
- Collaborate with Student Support Committee in development and management of Student Support Budget
- Contribute to annual operating/capital budgets
JOB QUALIFICATIONS
- Degree/Diploma/certification/designation in health equity, public health, or social justice studies (BA, BSc, BS, BASc) but may be substituted by progressive equivalent job experience
- Experience with project management
- A capacity to work in a small team with competing priorities
- Excellent command of English, both written and oral
- Bonus Points:
- Familiarity with working in a university setting
- Experience working in a unionized environment
- Experience or knowledge in property management and facilities management
Required skills & demonstrated knowledge
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Strong leadership and team management skills
- Proficiency with common software including Word, Excel and Outlook
- Understanding of various Federal, Provincial and local codes and regulations involving construction, installation, fire, safety and sanitation
- Demonstrated problem-solving and decision-making skills
Physical Effort & Working Conditions
- This position requires routine physical activity. The incumbent is frequently using computer/technology while composing and preparing reports, documents, and letters for extended periods of time. Physical movement may also be required for extended periods of time while participating in special events.
- The majority of the incumbent's time is spent in an office environment. The incumbent is required to meet multiple and conflicting deadlines on a regular ongoing basis.
- Physical Demands - Standing, walking, reaching, bending, twisting, carry/lift 40lbs, and push/pull 200lbs.
COMPENSATION & CULTURE:
Position Title: Supervisor, Facility & Student Support
Department: Facilities
Salary: $60,000 annually
Benefits: Extended health and dental benefits, and access to defined benefit pension plan (CAAT); after successful completion of probation period; 2 weeks paid vacation + paid winter shutdown per year; monthly cellphone reimbursement; 18 wellness days (medical, personal, sick)
Contract Type: Full-time, Permanent
Tentative start date: April 2026
Supervisory: This position reports directly to the Executive Director
Direct Reports: Building Services Staff, Custodial Staff
Indirect Reports: Student Support Committee
