LOCATION: Hybrid (on-site in our Alexandria, VA office required for a minimum of 3 days per week).

SUMMARY OF POSITION:

The Events and Advocacy Coordinator supports the successful execution of Foundation events and advocacy activities through strong logistical coordination, administrative support, and cross-team collaboration. This role assists with event planning, advocacy meetings and convenings, and select development and stewardship tasks, helping ensure a seamless experience for partners, donors, and stakeholders.

PRIMARY RESPONSIBILITIES:

Events Support

Provide logistical and administrative support for Foundation events, including the annual gala, beneficiary events, briefings, board meetings, convenings and other cultivation or stewardship events.
Assist with event timelines, task tracking, vendor coordination and internal communications.
Support event registration, guest lists, RSVP tracking, seating coordination and/or name tags and post‑event follow‑up.
Assist with preparation of event materials such as run‑of‑show documents, briefing materials, signage and sponsor recognition.
Help track event expenses, invoices and documentation.

Advocacy Support

Support the planning and execution of advocacy‑related activities, including congressional briefings, Hill visits, workshops, roundtables, webinars and partner engagement.
Assist with coordination of materials, scheduling, notetaking and logistics for advocacy meetings and events.
Maintain advocacy contact lists and support the Advocacy newsletter.

Development & Fundraising Support

Provide administrative support for development activities, including donor acknowledgments, data entry and stewardship tracking.
Support the preparation of fundraising and stewardship materials, reports and presentations.
Coordinate with Development staff to ensure timely follow‑up with donors, sponsors and partners.
Assist with prospect research and preparation of background materials, as needed.

QUALIFICATIONS:

1-3 years of experience in event coordination, advocacy, development, or nonprofit administration.
Strong organizational skills with the ability to manage multiple priorities and deadlines.
Excellent attention to detail and follow-through.
Strong written and verbal communication skills.
Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).
Availability for occasional evening or event-related work.

PREFERRED QUALIFICATIONS:

Experience supporting events, meetings or convenings (logistics, registration, materials).
Experience in a nonprofit or advocacy organization.
Familiarity with CRM systems, event registration platforms or webinar tools.
Interest in public health, advocacy or nonprofit fundraising.
