Job Description:
The Director of Advancement Operations oversees and leads all back-office functions within Institutional Advancement. This position is responsible for oversight and management of all back office operating systems and functions including (but not limited to): Raiser's Edge database and supporting Blackbaud products; Evertrue; Thankview; Bonterra or other giving day software; and wealth screening and prospect research software. Additionally, the Director is responsible for managing budget, supplies, and maintenance around advancement systems and for all automated donor correspondence.
Position responsibilities include:
- In support of the College's strategic plan and priorities, provides leadership and oversight of all aspects of alumni and donor records management and maintenance, including developing both short-term (annual) and long-term goals and objectives related to data management gift processing, stewardship, receipting, list generation and reporting.
- Develop and maintain comprehensive documentation for Advancement Services policies and procedures to ensure consistency and compliance.
- Oversee the creation, maintenance, and updates of online giving forms and portals, coordinating with other departments as necessary.
- Train Advancement staff on system software, data policies, and processes.
- Manage user accounts, access permissions, and system terminations for departing employees.
- Collaborate with the Vice President for Institutional Advancement to establish best practices for prospect tracking and moves management.
- Create and manage reports, lists, and tracking tools to support fundraising efforts, including benchmarking and data analysis.
- Routine monitoring of prospect donor pipeline to ensure a robust moves management system and processes.
- Manage and produce development, financial, campaign, and stewardship reports, including comprehensive donor and fund listings for annual reports.
- Serve as a liaison to other campus departments with respect to technology utilized within the Advancement Department, which includes all Blackbaud products, Evertrue, Thankview, and Bonterra.
- Assess current and future divisional information service needs, anticipating and planning for growth and utilization of the database system.
- Responsible for training other Advancement staff in systems as needed.
- Other duties as assigned or required.
Managerial and supervisory responsibilities include:
- Supervise Institutional Advancement work-study students.
Requirements:
- Bachelor's degree required.
- Extensive knowledge of database management
- Attention to detail and strong customer service orientation.
- Excellent written and verbal communication skills.
- Demonstrated problem solving skills.
- Acute attention to detail.
- Outstanding time management skills, including the ability to organize, manage and prioritize multiple projects simultaneously.
