Position Summary:The Data and Gift Processing Specialist is responsible for processing, managing, and maintaining donor and gift records to ensure data accuracy and integrity within the University's Advancement database. This role supports fundraising and alumni engagement efforts by overseeing gift entry, acknowledgement, reporting, and data management. The specialist will collaborate with the advancement team, finance office, and other stakeholders to enhance donor relations and streamline operations.
Primary Responsibilities:- Accurately process all charitable contributions, including check, credit card transactions, stock gifts, and matching gifts
- Ensure proper gift coding, fund allocation, and compliance with IRS and CASE guidelines
- Generate and distribute donor acknowledgement letters and tax receipts in a timely manner
- Maintain accurate and up-to-date donor records within the University's Advancement database
- Maintain accurate daily, weekly, and monthly financial reports and diversified documents
- Assist the department with scholarship maintenance
- Perform other duties as assigned in support of the University's Mission
Position Skills and Abilities:- Ability to establish and maintain appropriate and effective communication and interpersonal relations throughout campus and the local community
- Must be detail oriented, self-motivated and dependable
- Flexibility with schedule to assist with Advancement Events including some evening and weekend hours
- Universal understanding of general ledger accounts and basic accounting principles are preferred
- Database experience helpful with Jenzabar experience preferred
Requirements:- High School Diploma required; Undergraduate degree preferred
- Familiarity with fundraising, advancement and/or higher education is preferred
- Experience in gift processing, data management, or nonprofit fundraising
- Must be a problem solver who thinks critically and is inquisitive
- Demonstrated ability to work effectively both independently and as part of a team
