Job Summary: The Part-Time Full Charge Bookkeeper will be responsible for managing all aspects of the organization’s financial records, ensuring accuracy, and maintaining compliance with accounting principles. This role involves overseeing accounts payable and receivable and financial reporting. The ideal candidate will have strong attention to detail, excellent organizational skills, and a passion for supporting nonprofit work. The Bookkeeper reports to the Executive Director, and supports the work of the Executive Director, Treasurer and the Finance Committee.
Key Responsibilities:
- Maintain and update financial records, including general ledger, accounts payable, accounts receivable, and payroll.
- Prepare and submit accurate financial statements and reports in a timely manner.
- Reconcile bank statements and ensure all financial transactions are properly recorded and accounted for.
- Manage budget tracking and variance analysis to support financial planning and decision-making.
- Process invoices, payments, and donations, ensuring accuracy and compliance with organizational policies.
- Coordinate with external auditors during annual audits and provide necessary documentation.
- Stay informed about changes in accounting regulations and nonprofit financial reporting requirements.
- Assist in the preparation of grant budgets and financial reports for funders.
- Other duties as assigned.
Weekly Tasks include but are not limited to:
- Record day to day financial transactions and complete the posting process.
- Verify transactions are recorded correctly in QuickBooks.
- Verify and process deposits made
- Verify and process payments by writing checks for review by the Executive Director and/or Treasurer Enter and tack all online payments
- Process and compile invoices.
- Other duties as assigned.
Monthly Tasks include but are not limited to:
- Maintenance and reconciliation of deposits and credit card accounts.
- Maintenance and tracking of all restricted accounts and funds.
- Accurate tracking of all income and expenses for special events and programs.
- Produce monthly reports for Executive Director, Treasurer and the Finance Committee to review and present to the HEAT Board of Directors.
- Produce donation reports for the HEAT All other duties and responsibilities as assigned.
Annual Tasks include but are not limited to:
- Schedule financial review or audit at the end of the FDW fiscal year (January 1st through December 30th).
- Supply auditor with all financial records requested to complete the IRS 990 form and review.
- Assist auditor as needed in submitting a Charitable Organization Registration Statement
- Produce all annual W-2 and 1099 forms.
- Provide financial information and assist in the preparation of HEAT’s annual budget.
Qualifications:
- Associate's or bachelor's degree in accounting or finance.
- Minimum of 8 years of bookkeeping or accounting experience, preferably in a nonprofit setting.
- Solid understanding of bookkeeping and accounting payable/receivable principles.
- Strong proficiency in QuickBooks Desktop and Online, as well as Microsoft Office Suite including Excel.
- Solid understanding of accounting principles and nonprofit financial management.
- Excellent organizational and time management skills.
- Ability to work independently and meet deadlines.
- Attention to detail and accuracy in financial record-keeping.
- Strong communication and interpersonal skills.
Hours and Compensation:
- Part-time position with flexible hours, approximately 10 hours per week.
- Competitive hourly wage based on experience.
