Job DescriptionThe USF Alumni Association (USFAA) is a 501(c)(3), non-profit, Direct Support Organization of the University of South Florida. The Alumni Association connects alumni, fostering a mutually beneficial, lifelong relationship with the university; supports students and strengthens USF. All alumni are general members of the USF Alumni Association and the Association also has a life membership program for life loyal alumni and friends of the University. The USFAA serves more than 377,000 alumni worldwide.
This position reports to the Associate Executive Director and will be a member of the Student and Alumni Relations Team in coordinating all aspects of specific events, programs and activities that support the Association's goal of connecting alumni to the University. Specifically, this position serves as a project manager overseeing and producing specific USF Alumni Association (USFAA) programs and is ultimately accountable for their successful execution. Programs and activities in which the Assistant Director would serve as the program manager could include, but are not limited to: alumni award and recognition programs, Life Member appreciation events, reunions and other signature events and programs of the USFAA. These program and activities involve working cross-functionally within the Advancement Division, as well as interacting with other university departments, volunteers and vendors
This position is expected to assist with other Alumni Association events as needed or directed. Willingness to work flexible hours including evenings and weekends is required at some points during the year. This is a hybrid position with the ability to work remotely 2-3 days week.
Excellent project management skills, including the ability to set and adhere to strict timelines and propose and implement effective solutions to roadblocks and problems; Demonstrated ability to work as part of a team with a commitment to service and excellence; Strong organizational skills with the ability to manage multiple tasks. A successful candidate will be well-versed in Microsoft programs including Word and Excel. Experience with Box and Teams would be ideal.
ResponsibilitiesKey part of team that manages all aspects of USF Alumni Association (USFAA) events and programs as part of USF Homecoming. Coordinate logistics, budgets, and all programmatic aspects of events including, but not limited to, the Working Bulls Lunch, Welcome Home Party, Alumni Awards and game-day Spirit Tent. Work with Advancement communications team on marketing and promotion of USFAA Homecoming events.
Serve as one of the program managers for the Alumni Association's fundraising and engagement programs that bring alumni together to celebrate USF while also raising financial support for the Alumni Association's scholarships and programs. Current programs include an annual golf tournament as well as the annual Green and Gold Gala.
Cultivate relationships and create new relationships to engage and connect alumni to the signature events and programs of the USFAA. Explore new ways to extend the alumni reach of existing programs using innovative and creative strategies.
Work with USFAA team on additional programs throughout the year. Collaborate with USFAA and Advancement staff to fulfill obligations of events and meet engagement and financial goals.
Collaborate with alumni affairs colleagues and other partners across campus to develop strategies, goals and objectives to drive an increase in alumni engagment and participation in events and programs.
Performs other duties as assigned.
