Job Description:
Wittenberg is seeking an Administrative Assistant for the office of Advancement and Alumni Relations. This position provides direct administrative support to the Advancement and Alumni Relations staff and serves as the initial point of contact for alumni and guests. This is a full-time (working approximately 40 hours per week), non-exempt position, reporting to the interim Vice Presidents of Advancement and Alumni Relations.
Essential functions include, but are not limited to:
- Perform a variety of administrative and management support for the Vice President of University Advancement, including but not limited to: editing, copying, data handling, researching, routing correspondence, fielding calls, scheduling, office billing, office management of supplies and room reservation, maintaining and stocking collateral inventory, etc.
- Handle donor and alumni acknowledgement outreach as assigned.
- Manage donor and alumni special mailing projects as assigned.
- Welcome guests and alumni by greeting them, in person or on the telephone; answer or directing inquiries to the appropriate parties.
- Maintain customer confidence and protect operations by keeping information confidential; follow PCI compliance and IRS guidelines for gift acceptance, as necessary.
- Coordinate donor visits and small events, as appropriate.
- Coordinate team meetings, outings and other activities.
- Coordinate scheduling, printing or other work with campus partners.
- Serve as a representative of University Advancement to both internal and external constituents.
- Perform other relevant duties as assigned such as special projects, programs, and developmental activities.
Requirements:
Candidates must have:
- A high school diploma or GED are required; an associate's degree is preferred.
- Some relevant working experience.
- Demonstration of strong writing and reporting skills, time management presentation skills, and strong verbal communication required.
- Working knowledge and experience using Microsoft Office software (Outlook, Word, Excel, Teams and PowerPoint).
- Ability to remain stationary for office work for more than 50% of the work day.
