Job Summary

This position is primarily responsible for supporting the functions of the University Advancement Office and providing direct report for the Vice President for University Advancement. Several of the chief tasks include overseeing general office functions, maintaining calendars, processing and updating data, supporting stewardship and campaign functions, maintaining office correspondence, sorting and distributing department mail, assisting with budgets, maintaining office supplies and equipment, updating and maintaining the endowed scholarship database, and assisting with events.

Scope

Support the Office of University Advancement through assisting the Vice President and Assistant Vice President of Advancement with a variety of tasks and office management.

Principal Responsibilities

Support office functions through handling calls, ordering office equipment, submitting IT help tickets and physical plant work order and accommodating smooth office flow.
Oversee scheduling for the VP and department by scheduling appointments and meetings using Google calendar as well as Doodle polls, reserving rooms for meetings and maintaining calendars for the Vice President and the Advancement Conference Room.
Update the BANNER database as needed with the following: special and variable purpose codes such as birthday card code and heritage club code, planned giving details in coordination with advancement services, endowed scholarship comments and contact changes, comments for contact reports and proposals for the vice president.
Manage and compile data and supplies needed for the Scholarship/Stewardship thank you letter process. This involves data pulls; coordination of information from financial aid, controller's office, each of the colleges and the annual giving office; sending annual stewardship letters and financial reports to donors and donor representatives identifying student recipients of endowed scholarship funds.
Support the vice president's major and planned gift work including tasks such as researching estates in probate and matured trusts by seeking information, reporting findings to appropriate personnel as well as banks as necessary, tracking distribution, requesting death certificates, and maintaining data.
Maintain gift records such as Excel spreadsheets of expectancies, bequest and trust payments received by fiscal year, deferred gifts and bequest commitments for tracking and reporting purposes.
Collect, sort and distribute department mail.
Prepare check requests, assist with budget functions, organize/process mailings and process vice president's credit card statements.
Update and manage the Endowed Scholarship database in the P:/drive and on Fundriver. Coordinate all correspondence to staff and departments when new scholarships are implemented, changed or updated. Work closely with the controller's office and office of financial aid.
Assist the vice president with preparation for Board meetings.
Run data reports and order supplies to update donor recognition and award displays.
Provide technical support and general assistance to other staff.
Assist with events such as Founder's Day, Lehr Society Dinner and Scholarship/Stewardship events
Assist with campaign tracking and tasks.

Required Skills

Excellent organization and attention to detail.
Demonstrated ability and working knowledge of Banner.
Proficiency in Microsoft Office Products and ability to learn and use accounting and office software.
Ability to perform moderately complex procedures using basic analytic ability.
Effective in communicating issues of moderate importance with higher officials, donors, friends, campus colleagues and other important constituencies.
Maintain highest levels of confidentiality in handling information.

Minimum Qualifications

Bachelor's Degree or equivalent experience
2-5 years of similar work experience.

Preferred Qualifications

Bachelor's Degree
Knowledge of charitable giving in a higher education context (or) non-profit fundraising environment.
Experience with BANNER integrated administrative database software.
