The office is a fully functional development and alumni operation team that includes major and principal gifts, corporate and foundation relations, annual fund and stewardship, alumni engagement, communications and analytics, as well as supporting administrative staff.
Job SummaryThe Office of Development and Engagement at the Kelley School of Business is searching for a dynamic and driven alumni professional to join our team. The Alumni Events Manager will play a pivotal role in designing, coordinating, and executing high-impact events that advance our organization's fundraising and donor engagement objectives. This position requires a strategic thinker with extensive experience in event management, a deep understanding of donor relations, and a passion for creating memorable experiences that foster long-term philanthropic support.
Department Specific Responsibilities
- Collaborates with development and engagement leadership on both Bloomington and Indianapolis campuses to conceptualize and plan a wide range of events, including alumni awards celebrations, donor recognition ceremonies, alumni gatherings, and cultivation events. Ensure each event aligns with the organization's mission and fundraising goals.
- Develops and manages event budgets, ensuring cost-effective solutions without compromising quality. Monitor expenses and provide financial reports to stakeholders as requested.
- Works closely with the corporate relations team and major gift officers to identify and secure venues that align with the organizational priorities and meet the event objectives. Negotiate contracts with vendors, including caterers, decorators, audiovisual providers, and entertainment, ensuring all logistics are covered.
- Coordinates with internal and key external departments to identify key stakeholders and tailor events to enhance engagement and stewardship that promotes a lifelong relationship of connectivity to Kelley.
- Collaborates with the communications team to develop promotional materials, invitations, and event programs. Ensure consistent messaging that reflects the Kelley brand and mission.
- Oversees all aspects of event execution, including setup, coordination of staff and volunteers, registration, troubleshooting, and ensuring a seamless experience for attendees.
General Responsibilities
- Plans a variety of recurring and ad hoc events for the university and oversees budgets, vendor contracts, transportation, catering, signage, equipment, technology, and other event components. Coordinates event activities prior to and on the day of events.
- Consults with internal and external constituencies to plan event timelines and specifications and negotiate the terms of agreements and contracts.
- Works closely with vendors and staff to ensure goods and services arrive timely and in acceptable condition for events.
- Interfaces with media and/or marketing and communications representatives regarding calendar of events and event publicity.
- Tracks and analyzes event metrics, such as attendance, participant feedback and expenses; monitors effectiveness and return of investment; tracks suggested event improvements for future implementation in recurring events.
- Ensures events adhere to university guidelines and policies and event contracts, agreements, and specifications.
- Makes procedural and policy recommendations to improve operational efficiency.
- Responds to urgent or escalated issues, escalating to manager as needed.
- Provides guidance to lower-level Event Services Specialists; delegates administrative tasks to Event Services Coordinators.

Working Conditions / DemandsThis role regularly requires the ability to effectively communicate. This role frequently requires the ability to handle equipment. This role frequently requires the ability to remain stationary and ascend/descend ladders/stairs. This role requires the ability to move objects weighing up to 25 pounds. The role requires the ability to detect items in close proximity as well as far away; discern between colors; detect objects in peripheral space of self; discern items in detail; and to have good depth perception. The person in this role must be able to perform the essential functions with or without an accommodation.
This role requires a significant amount of travel, including in-state and out of state.
It will be based out of Bloomington but traveling back and forth.
Works on both the Indianapolis and Bloomington campuses regularly.
