Saint Anselm College, a Catholic, liberal arts college in the Benedictine tradition, is seeking a highly-skilled, self-motivated Alumni Relations Coordinator to join the Office of Alumni Relations. Reporting directly to the Assistant Vice President, Alumni Relations and Engagement, the Alumni Relations Coordinator will perform a wide range of administrative support functions for the Assistant Vice President, Alumni Relations and Engagement.
BASIC FUNCTION
The Alumni Relations Coordinator manages the daily operation of the Office of Alumni Relations and Advancement Programming. Typical duties include data entry, guest relations, budget management and assisting with event planning. He or she will manage the guest relations program (mailing, tracking RSVPs, registrations at events, responding to e-mail traffic, answering main telephone lines for inquiries, etc.). Reporting to the Assistant Vice President for Alumni Relations and Engagement, the Alumni Relations Coordinator will be responsible for running queries, exports and reports using Blackbaud's Raisers Edge database. This person will be responsible for managing work study and student interns. This person will also perform bookkeeping functions related to tracking and reconciling budgets.
The Alumni Relations Coordinator must be able to represent Saint Anselm College in a professional and enthusiastic manner with the highest focus on customer service and attention to details. In addition, the Alumni Relation Coordinator manages the milestone outreach project for the office, an initiative to congratulate and acknowledge our alumni for major personal and professional milestones. This position has significant contact with alumni, donors, faculty, staff, corporate executives and others in support of our engagement efforts. Will work with other advancement and college departments to facilitate event details, ensure accuracy of mailing(s) data, follow up on deliverables, track budgets, funding and accounts, etc.
This position may be assigned to coordinate various alumni and/or advancement events and will develop outreach initiative and event check lists leading to successful activities and programs conducted by the alumni office. This person will have a standard office schedule and will at times be required to attend and support college activities in the evening and on weekends.
CHARACTERISTIC DUTIES & RESPONSIBILITIES
- Manage and oversee the daily operations of the Alumni Relations office.
- Will manage the guest relations process (mailing, tracking rsvps, registrations at events, responding to e-mail traffic, answering main telephone lines for inquiries, etc.) for all Alumni Relations and Engagement Programming events and activities.
- Will assist in negotiating contract with vendors and suppliers.
- Will support the Assistant Vice President with management of the Alumni Association's Alumni Council including scheduling meetings, taking meeting minutes, and correspondence to Council members.
- Will be assigned as the lead event coordinator for on-campus events at the discretion of the Assistant Vice President, examples might include the Alumni Easter Egg Hunt and Senior Class Brunch.
- Will be required to attend both on and off campus events at the request of the Assistant Vice President.
- Will manages the milestone outreach project for the office, an initiative to congratulate and acknowledge our alumni for major personal and professional milestones.
- Will manage work study student employees.
- Will partner with Assistance Vice President to manage the department budget
- Will partner with Advancement services to ensure alumni records are updated in Raisers Edge database.
- Partner with Annual Giving Team to help promote and manage student and young alumni events.
- The Alumni Relations Coordinator will manage and monitor the work of student workers and volunteers with the guidance of the Assistant Vice President of Alumni Relations and Engagement
QUALIFICATIONS
- Bachelor's Degree preferred
- Knowledge of and proficiency in RaisersEdge and NetCommunity preferred
- Experience in a higher education and/or non-profit environment is preferred, with a broad understanding of hospitality and communication techniques.
- Ability to coordinate multiple projects, budgets and competing deadlines is essential
- Excellent writing, communications and interpersonal skills are required, as is the ability to work evenings and weekends.
- The ability to work independently and as part of a team to accomplish objectives and long-term goals is also essential.
- Positive attitude and excellent customer service skills, demonstrated ability to interact professionally with alumni, faculty, staff and students.
