Job Summary:The Coordinator, Office Services is responsible for supporting office operations by coordinating administrative affairs and programs.
Duties & Essential Job Functions:1. Manages and/or supervises office services by controlling correspondence; maintaining filing systems; planning and implementing office systems, layouts and equipment procurement.
2. Designs and implements office procedures by establishing standards; measuring results against standards; organizing operations and procedures; making necessary adjustments, including the process of donor event invitation and registration, review and management of data for recognition society welcome packages and the support of volunteer management, including production and assembly of volunteer meeting materials.
3. Supports donor events and experiences as needed.
4. Facilitates department programs by creating the process to implement programs; monitoring program progress; coordinating activities; communicating with vendors; resolving problems; making recommendations for management approval.
5. Maintains department schedules by keeping calendars for department personnel; arranging meetings, classes, professional development and travel.
6. Manages public relations by greeting customers, constituents and colleagues in person or by various communication channels; answering or referring inquiries, providing information and assistance regarding department functions.
7. Maintains and reviews interactive donor wall data.
8. Performs other related duties as assigned.
Required Education & Experience:- Associate degree or equivalent in experience.
- 3 years of administrative experience.
Preferred Education & Experience:Required Licensure/Certification/Specialized Training:Preferred Licensure, Certification, and/or Specialized Training:Knowledge, Skills & Abilities:- Knowledge of basic accounting processes.
- Knowledge of specific job related programs.
- Knowledge of customer service techniques.
- Ability to interact with a variety of constituents.
- Ability to learn navigation and data entry in a complex, enterprise-wide CRM system (Blackbaud CRM) that includes an event management module; ability to work within a content management system.
- Knowledge of Microsoft Office applications (Word, Excel, PowerPoint, and Publisher).
- Skill in basic keyboarding techniques.
- Skill in basic record keeping techniques.
- Ability to clearly communicate information.
- Ability to draft grammatically correct correspondence.
- Ability to manage multiple projects and meet deadlines.
- Ability to assume administrative tasks and make independent decisions regarding daily activities.
- Ability to work independently as well as on a team.
- Ability to maintain confidentiality while working with sensitive information.

Work Environment:- Work is indoors and sedentary and is subject to schedule changes and/or variable work hours.
