Job DescriptionThe Senior Advancement Coordinator is responsible for providing administrative support for the Director and the Annual Giving team. The Senior Advancement Coordinator is responsible for general departmental office administration, including purchasing, invoice processing, scheduling and support of meetings and training sessions. Other responsibilities include utilizing Microsoft tools to develop workflows, forms, and communication templates to support the management of AIS projects and tasks.
Provides administrative support to the Director, including but not limited to, research, scheduling, special project support, event coordination, etc. Serves as liaison and first contact to other administrative personnel within the department; provides general assistance where needed. Arranges and assists with meeting preparations (catering, room reservations, equipment needs, etc.) as needed. Maintains Advancement office subscription services.
Assists with special research or other projects as needed. Reviews, proofs, and edits print materials; works with printing companies to ensure production of department printed materials meets quality control standards. Responsible for coordinating mass mailings.
Under the direction of the Director, is responsible for processing IT's, deposits, managing vendors and overseeing special assigned tasks. Processes invoices, obtains purchase orders; works with Telecommunications, Facilities Services, TS and other Tulane departments on services and payments. Assists with projects throughout Advancement as needed or requested.
ResponsibilitiesREQUIRED KNOWLEDGE, SKILLS, ABILITIES/COMPETENCIES TYPICALLY NEEDED TO PERFORM THIS JOB SUCCESSFULLY:
1. Excellent oral and written communications skills, as well as the ability to interact professionally, courteously, and effectively with internal and external groups
2. Excellent organizational skills, including the ability to manage multiple demands and multiple projects; establish priorities, and meet deadlines
3. Demonstrated ability to deliver excellent customer service
4. Working knowledge of MS Office applications, particularly Word and Excel
5. Ability to work independently and exercise good judgment, maintain confidentiality, Integrity, and discretion In the performance of all duties.
6. Ability to lift, move and/or carry up to 40Ibs
7. Ability to work occasional evenings and weekends
QualificationsREQUIRED EDUCATION AND EXPERIENCE:
1. High school diploma or equivalent.
2. 2 years of experience providing office or administrative support
PREFERRED QUALIFICATIONS:
1. Some college
2. Some book-keeping experience
3. Experience working in a higher education or non-profit setting
