Job DescriptionAssists the Senior Director and the Class Officers with day-to-day operations within the unit, including travel and administrative support and inventory/supply management.
Coordinates travel preparation and follow-up for Class Officers and other arrangements as necessary including organizing research materials on prospects, production of development packets, documenting appointments, handling travel arrangements, preparing reimbursement forms, CONCUR corporate card reconciliation, etc. Assists with organization of donor visits and other stewardship events as needed. Provides courteous and prompt information and materials to incoming calls. Identifies, develops, and implements ways to streamline processes that will allow development officers to focus on maximum contact with donors and prospects.
Provides administrative support to the Reunion Giving team. Compiles and updates reports on fundraising results, activity, and class campaigns, including monthly activity reports and reunion cycle dashboards. Manages and updates volunteer roster. Provides event support including invitations, RSVP's, and working with vendors. Executes steps in the volunteer onboarding process, including tracking compliance with the university's volunteer confidentiality process, mailing appropriate materials, organizing logistics for training. Performs database updates and clean up. Tracks and maintains a proper inventory levels of supplies, including reunion weekend items, volunteer and donor stewardship items, reunion promotional items, stationary, pledge cards, brochures, folders for prospect visits, business cards, and development collateral.
Provides office support for Senior Director, Reunion Giving. Manages scheduling and calendar coordination. Assists with meeting preparation, including compiling agendas, taking notes, and follow up. Responds to correspondence and inquiries. Maintains and tracks planning documents, including monthly work plans, quarterly travel plans, team project plans, and annual staff plans.
Responsibilities - Excellent organizational skills, with an attention to detail.
- Ability to communicate in a sensitive and courteous manner.
- Knowledge of standard software applications including but not limited to, word processing, database management, and/or spreadsheet software. Strong communication skills.
- Familiar with operation of electronic office machines (phones, copiers, fax, etc.).
- Ability to work occasional nights and weekends.
- Extensive experience with Microsoft Office (Word, Access, and Excel) preferred.
QualificationsREQUIRED EDUCATION AND EXPERIENCE:
- High school diploma or equivalent.
- 3 years of office or administrative support experience.
