Position Summary:The
Coordinator, Campaign and Growth Initiatives serves as a project assistant, logistics liaison, and operations assistant in implementation of the campaign program in support of Vanderbilt's comprehensive campaign, university initiatives, and priorities. These include, but will not be limited to, new Vanderbilt campuses in New York City, West Palm Beach, and San Francisco; College of Connected Computing; Power the Impossible; Institute of National Security; and Athletics.
In this role, you will also work collaboratively with internal and external constituents to help reach the campaign's priorities and goals within designated timelines.
About the Work Unit:The Department of Development and Alumni Relations (DAR) assists Vanderbilt University in securing the resources, both human and financial, that are required to achieve its mission and goals. The Department is responsible for the identification, cultivation, solicitation, and stewardship of individuals and organizations whose charitable objectives are consistent with those of Vanderbilt University's teaching and research programs. DAR's university development team is responsible for seeking new resources from alumni, parents, friends, and family foundations to support key fundraising priorities. - Assist with planning university priority events in collaboration with internal and external university partners
- Manage inquiries received in the shared team inbox promptly and accurately
- Work with Marketing & Communications colleagues to design, edit, and distribute invitations, announcements, and other event communications
- Coordinate development of event invitation lists in partnership with Research teams
- Work closely with our event system (AlumnIQ) to manage registrations and attendance reporting. Post-event, assure transfer of event data into DAR database.
- Manage onsite event logistics when needed
- Send invitations and other campaign materials via SEM inbox
- Assist with on-site event management as assigned
- Occasionally work nights and weekends as needed for events
- Research and Fundraising Support
- Support the Assistant Vice Chancellor with project management in support of fundraising work for Vanderbilt's San Francisco campus. Includes, but is not limited to, meeting and event prep, relationship tracking, database management, and scheduling.
- Track complex project timelines, streamline communications, and monitor follow-up tasks
- Assist with development of event briefings alongside colleagues from Research team
- Other duties and special projects as assigned
Work Environment:This position will be located in the Nashville, TN area. The role will be hybrid with an expectation of being in the office one day per week or more depending on business needs. Travel may be required according to event schedule.
Supervisory Relationships:This position does not have supervisory responsibility; this position reports administratively and functionally to the Assistant Vice Chancellor of Campaign Strategy and Operations.
Education and Certifications:- Bachelor's degree, or the equivalent, is necessary
Experience and Skills:- One year of relevant experience is necessary
- Strong organizational skills, attention to detail, and adaptability to shifting priorities are paramount.
- Proven ability to work independently and collaboratively in a team environment and among a wide demographic of university constituents
- Strong oral and written communication skills
- Proficiency in Microsoft Word, PowerPoint and Excel
- Communications, data analytics, event planning, and development and/or alumni relations experience in an academic setting preferred
- Ability to work independently, assuming responsibility, prioritizing and carrying out duties with minimal supervision.
- Ability to exercise good judgment in handling confidential information and managing sensitive organizational relationships.
