Position Summary
The Admin Office Support – Fundraising and Event Coordination (Student) position provides hands-on administrative, fundraising, and event coordination support under supervision. This role is designed to offer a quality summer work experience aligned with the Canada Summer Jobs (CSJ) program, supporting skill development, mentorship, and exposure to nonprofit operations.
Reporting Relationship
Reports to: Director, Quality, Performance, and Special Projects
The student will receive regular supervision, feedback, and mentoring to support learning and skill development throughout the placement.
Key Duties and Responsibilities
Administrative Support
- Assist with general office duties, including answering phones, managing emails, filing, and maintaining office supplies.
- Create and manage task lists using digital tools (e.g., JotForm or similar applications).
- Support administrative processes using internal systems such as the Family Portal.
Fundraising Support
- Assist with the planning and delivery of fundraising campaigns and initiatives.
- Support communication with donors and sponsors, including preparation of follow-ups and acknowledgment letters.
- Maintain accurate fundraising and donation records under supervision.
Event Coordination
- Support the planning and coordination of fundraising and community events, including logistics, scheduling, and vendor coordination.
- Assist with the preparation of event materials such as invitations, programs, and promotional content.
- Help manage event registrations and attendee communications.
Communication and Team Collaboration
- Draft internal and external communications related to fundraising and events.
- Collaborate with team members to support clear, inclusive, and timely communication.
Data and Reporting Support
- Assist with maintaining databases related to donors, sponsors, and event participants.
- Support the preparation of basic reports to inform fundraising and event activities.
Other Duties
- Perform other related duties as assigned, consistent with the student nature of the role.
Learning and Skills Development (CSJ Requirement)
Throughout the placement, the student will develop:
- Office administration and organizational skills
- Professional communication (written and verbal)
- Teamwork and collaboration in a nonprofit environment
- Introductory experience in fundraising and event coordination
- Digital skills using common office and data management tools
Learning objectives will be reviewed regularly with the supervisor to ensure meaningful skills development.
Eligibility Requirements (Canada Summer Jobs)
To be eligible under the Canada Summer Jobs program, the candidate must:
- Be between 15 and 30 years of age at the start of employment
- Be a Canadian citizen, permanent resident, or person granted refugee protection under Canadian law
- Be legally entitled to work in Canada
Required Knowledge, Skills, and Qualifications
- Currently enrolled in, or recently graduated from, a post-secondary program in a relevant field (e.g., Business Administration, Event Management, Communications)
- Strong organizational and time-management skills
- Effective written and verbal communication skills
- Basic proficiency with Microsoft Office (Word, Excel, PowerPoint)
- Ability to work both independently and as part of a team
- Previous experience in administration, fundraising, or event support is considered an asset but is not required
Working Conditions
- Full-time, temporary summer position funded through Canada Summer Jobs
- Typically daytime office hours; occasional evening or weekend work may be required for events
- Work is primarily office-based with standard physical demands

Wage and Hours
Wage: $23.25 per hour.
Hours: Full-time (up to 35–40).
Duration: Fixed-term summer placement subject to CSJ funding approval. 8-16 weeks dependent on Approval under Canada Sumer Jobs
Start: Anticipated between April 20 – June 1, 2026 Depending on CSJ Funding
